Responsibilities
- Greet visitors, answer multi-line phone systems, and direct calls with professionalism and courtesy, ensuring excellent phone etiquette.
- Manage front desk operations, including scheduling appointments, handling inquiries, and maintaining a welcoming environment.
- Perform data entry, filing, and document proofreading to support administrative workflows using Microsoft Office, Google Workspace, and other computer skills.
- Assist with office management tasks such as calendar management, organizing files, and supporting general clerical duties like photocopying and faxing.
- Provide customer support by addressing inquiries promptly, resolving issues efficiently, and maintaining positive relationships with clients and team members.
- Support bookkeeping activities including basic data entry related to invoicing or billing using QuickBooks or similar software.
- Maintain organization of office supplies and ensure the smooth operation of office systems including multi-line phone systems and clerical processes.
Requirements
- Proven experience in office management or administrative support roles with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills.
- Prior experience in customer service or front desk roles with strong phone etiquette and interpersonal skills.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Familiarity with office equipment such as multi-line phones, printers, scanners, and filing systems.
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Clerical experience including proofreading documents, managing calendars, and handling confidential information is preferred.
