Job Summary
We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team. In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions while supporting executive leadership. Your energetic approach and exceptional organizational skills will help us maintain an efficient workplace where both staff and clients thrive.
Duties
- Manage complex calendars, schedule appointments, and coordinate meetings for executive staff with precision and professionalism
- Handle multi-line phone systems with courteous phone etiquette, directing calls efficiently and providing excellent customer support
- Prepare, proofread, and organize correspondence, reports, and documents using Microsoft Office and Google Workspace tools
- Maintain accurate filing systems, data entry records, and manage confidential information with discretion
- Oversee front desk operations including greeting visitors, managing office supplies, and ensuring a welcoming environment
- Assist with bookkeeping tasks using QuickBooks to track expenses and invoices accurately
- Support office management tasks such as organizing events, managing travel arrangements, and coordinating special projects
- Overall reports to the CEO/Executive Director.
- Manages CEO/Executive Director’s calendar and schedules appointments.
- Acts as liaison between the office of the CEO/Executive Director and agency staff.
- Arrange programs, events, or conferences by arranging for facilities and caterering, issuing information or invitations, coordinating speakers, and controlling event budget.
- Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.
- Acts as custodian of corporate documents and records.
- Directs preparation and filing of corporate legal documents with government agencies to conform to statutes.
- Composes and prepares confidential correspondence, reports, and other complex documents.
- Coordinates activities with management staff as related to the office of the CEO/Executive Director and as required ensuring administrative operational effectiveness.
- Coordinates activities with Board members as deemed appropriate by the CEO/Executive Director.
- Sets up and maintains an accurate filing system for the CEO/Executive Director and the Board of Directors.
- Develops and maintains office supply and equipment inventory control procedures.
- Responsible for ensuring front desk coverage during receptionist absence.
- Responsible for cross training with all administrative staff to provide coverage during absences.
- Performs other duties as directed and required to maintain daily operations.
- Attends scheduled staff meetings and other in-service trainings.
- Creates, maintains, and executes activities calendar.
- Other duties as may be assigned.
Qualifications
Associates degree in Business Administration desirable and 2 years’ secretarial work experience or High School diploma with advanced courses from a business college or vocational school in office administration to include computer knowledge and 5 years’ secretarial work experience. Must be willing to work with elderly adults and adults with disabilities. Must successfully pass a criminal background check and must not have any DWI arrests and/or convictions within the last five (5) years. Must possess a valid New Mexico Driver’s License and have proof of minimum, mandatory automobile insurance. Must be free from communicable diseases. Cornucopia ADS, Inc. is a drug free workplace. Supervisory experience desirable. Must provide, along with resume, three (3) professional (Supervisory) references.
- Proven office management or administrative experience in a fast-paced environment
- Strong computer literacy with proficiency in Google Workspace applications
- Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently
- Bilingual abilities are highly desirable to serve diverse client needs
- Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management is essential
- Exceptional customer service skills coupled with professional phone etiquette
- Demonstrated ability to handle clerical tasks such as typing accurately and managing time effectively

Pay: $20.00 - $22.00 per hour
