Position Overview:
The Office Administrator is responsible for managing all aspects of the office while executing administrative duties as assigned. You work collaboratively with all staff in the Vital Mechanical Service organization, providing much needed administrative support. This position is the first point of contact and must maintain a professional, clean, and neat company image along with a positive, customer service-oriented demeanor while always striving to excel and improve in their duties.
As the Office Administrator, you are a key link in supporting the efficient and smooth day-to-day operations of Vital Mechanical Service.
Responsibilities include but are not limited to:
- Provide front desk phone coverage and reception duties serving as the PRIMARY on phones, identifying the caller and their needs and routing those calls appropriately.
- Receive and process incoming packages, open package, researching the PO, tagging the item, sending notification to coordinator and tech, and moving the item to the shop and placing it in the proper location.
- Collect incoming mail, process, and distribute.
- Run company errands as needed.
- Employee engagement and meeting preparation; ordering food, preparing the space.
- General office and kitchen oversight including keeping the office and kitchen clean and tidy, machines operational and kitchen, office and safety supplies stocked.
- Fleet administration including but not limited to setup and maintenance of GPS dashboard, vehicle files, licensing renewal, Good to Go Passes, gas cards and coordinating vehicle repair and service.
- Electronics; setup and maintenance of electronics such as iPads, iPhones, laptops/computers.
- Employee appreciation: recognition of birthdays, anniversaries, and other important events, keeping picture walls updated.
- Uniforms; manage uniform orders and process.
- Keep processes and procedures updated in OneNote.
- Keep filing current and up to date.
- Assist Human Resources with projects as needed.
- Assist with employee onboarding; prepare new hire handbook, execute assessments, etc.
- Assist with employee offboarding: manage employee asset retrieval, terminate services, etc
- Other duties as assigned.

- Excellent at staying organized and paying attention to details.

- Good at writing technical documents.
