Position Overview
We are seeking an Administrative Assistant to provide front desk, office, and administrative support to attorneys, staff, clients, visitors, and vendors. This role is ideal for someone who is professional, highly organized, detail-oriented, and able to manage multiple tasks in a fast-paced office environment.
Key Responsibilities
- Make outgoing and route incoming calls professionally
- Greet clients, visitors, vendors, and employees at the front desk
- Maintain a clean, organized, and professional reception area
- Receive, sort, scan, and distribute mail and documents
- Assist with scanning, filing, copying, and general document organization
- Help maintain office supplies and coordinate supply orders
- Prepare and maintain conference rooms for meetings
- Manage calendars, schedule appointments, and coordinate meetings
- Coordinate with vendors and service providers as needed
- Submit or track office maintenance and facilities-related requests
- Provide general administrative support to HR, Operations, and other departments
- Support general office operations and administrative tasks
- Assist attorneys and staff with additional projects as needed
Qualifications
- Prior office or administrative experience preferred
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Ability to manage multiple priorities and meet deadlines
- Professional and reliable with a strong work ethic
- Comfortable using Gmail, calendars, phones, scanners, and general office technology
- Ability to maintain confidentiality and use good judgment
- Prior law firm or personal injury experience preferred but not required
- Experience with Smart Advocate or similar case management software preferred but not required
Preferred
- Bilingual (Spanish) is a plus.

Pay: $19.00 - $22.00 per hour
