A premier Manhattan plastic surgery practice is seeking an exceptional Patient Experience & Practice Coordinator to join our highly experienced, patient-focused team.
This is a dynamic, cross-functional position for a smart, polished, and highly organized individual who thrives in a sophisticated, fast-paced environment and genuinely enjoys working in the hospitality and aesthetics industries.
The role combines patient experience, front-office support, practice operations, scheduling coordination, and special projects. This individual will work closely with our administrative and clinical teams and will have exposure to many aspects of the patient journey - from a patient's first interaction with the practice through consultation, treatment, surgery, and follow-up.

Key Responsibilities
Patient Experience & Communication
- Help deliver an exceptional, five-star experience to every patient and guest
- Assist with incoming calls, new and existing patient inquiries, and appointment coordination
- Welcome patients and help ensure seamless patient flow throughout the office
- Provide thoughtful, responsive support to prospective and existing patients
- Assist patients with scheduling and logistical questions and help guide them to the appropriate member of the clinical or administrative team
- Maintain the highest level of professionalism, discretion, and confidentiality in all patient interactions
Scheduling & Practice Coordination
- Assist with managing and optimizing daily patient and provider schedules
- Coordinate appointments across surgical, clinical, and aesthetic services
- Assist with appointment confirmations, schedule changes, and patient readiness
- Help identify opportunities to optimize patient access and practice workflow
- Maintain accurate scheduling and patient information within practice-management systems
- Collaborate closely with the Patient Care Coordinator, Concierge, nursing team, and physician to facilitate a seamless patient experience
Patient & Surgical Support
- Provide administrative support throughout the consultation and surgical scheduling process
- Assist with patient follow-up, scheduling, documentation, deposits, and other logistical needs
- Help coordinate pre- and post-operative appointments and related patient requirements
- Assist with maintaining accurate prospective-patient and surgical information within practice systems
- Cross-train on key patient coordination functions to provide support and continuity across the administrative team
Practice Operations
- Support day-to-day administrative operations of the practice
- Maintain accurate patient documentation, records, reports, and practice databases
- Assist with financial and scheduling reports and other practice metrics
- Coordinate select vendor relationships, inventory, office supplies, and practice needs
- Assist with onboarding, technology, and office systems as needed
- Help maintain an organized, efficient, polished, and welcoming office environment
Marketing & Special Projects
- Assist with select marketing, public relations, patient testimonial, and practice-development initiatives
- Help maintain patient, marketing, and referral-source databases
- Coordinate information and reporting with outside practice partners as needed
- Support special projects and evolving practice initiatives
- Take ownership of assigned projects and follow them through to completion
The Ideal Candidate
- Bachelor's degree preferred
- Prior experience in a medical, plastic surgery, dermatology, aesthetic, luxury hospitality, or other high-touch service environment is preferred
- Exceptionally polished, articulate, warm, and personable
- Highly intelligent, organized, and detail-oriented
- Excellent written and verbal communication skills
- Able to interact comfortably and confidently with a sophisticated patient population
- Proactive and resourceful, with the ability to anticipate what needs to be done
- Comfortable managing multiple priorities in a busy, rapidly changing environment
- Strong judgment and discretion when handling confidential information
- Technologically proficient and comfortable learning scheduling and management systems
- Collaborative and willing to support colleagues across different areas of the practice
- Interested in learning, taking on increasing responsibility, and growing within the role
About the Position
This is a full-time, in-person position in Manhattan and an integral part of our patient-facing and administrative team.
Because our practice is highly collaborative, this position is intentionally cross-functional. The successful candidate will learn multiple aspects of practice operations and patient coordination, provide meaningful support across the team, and develop their own areas of responsibility.

Pay: From $80,000.00 per year
