Receptionist / Administrative Assistant

About the Role
We are seeking a polished, personable, and highly organized Receptionist/Administrative Assistant to serve as the first point of contact for our wealth management firm. This role is central to creating a warm, professional experience for our clients while keeping the office running smoothly behind the scenes. What You'll Do
- Greet clients and visitors warmly, in person and by phone, representing the firm's professional image at all times
- Answer, screen, and route incoming calls; take detailed and accurate messages
- Manage the front office, including scheduling and coordinating meeting rooms
- Maintain calendars and schedule appointments for advisors and staff
- Prepare and organize client meeting materials, folders, and correspondence
- Handle incoming/outgoing mail, packages, and deliveries
- Maintain client files and records with strict attention to confidentiality and compliance requirements
- Assist with data entry and updates in the firm's CRM and portfolio management systems
- Order and manage office supplies and vendor relationships
- Support advisors and support staff with administrative tasks, including drafting correspondence, preparing reports, and organizing documents
- Assist with special projects, client events, and mailings as needed

- Proficiency with Microsoft Office (Word, Excel, Outlook); comfort learning new software systems

- A positive, service-oriented attitude
- Prior experience in a financial services, legal, or professional office setting is a plus, but not required — we're happy to train the right candidate
