Title: Marketing & Box Office Coordinator
Classification: Regular, Full-Time, Non-Exempt

ABOUT BRANNAN CENTER
Brannan Center is a new, non-profit community space and performing arts venue in Calistoga, the northernmost town of the Napa Valley. The mission of Brannan Center is to empower the greater UpValley community with opportunities to experience community programming and performing arts that celebrate culture and promote vitality in our region.
Following a two-and-a-half year construction project, Brannan Center opened to the public in October 2025 and is a contemporary, multipurpose facility designed to be a gathering place and home to many community groups who do not have adequate facilities for meetings and activities, a home for arts groups throughout the Napa Valley, and a destination for private events such as weddings, quinceañeras, and parties.
In addition to serving as a community center and special event venue, Brannan Center also presents diverse, multidisciplinary arts performances, and produces (or co-produces through partnerships with other organizations) enrichment programs such as classes, workshops, and camps for everyone from children to seniors.
POSITION SUMMARY
Under the direction of the Executive Director and working closely with Brannan Center’s marketing consultant, the Marketing & Box Office Coordinator will be the primary staff responsible for box office services, and will also provide administrative support to the revenue generating activities of Brannan Center, in particular in the areas of communications coordination, data entry and management, calendar and project management, and marketing content creation. This position is ideal for someone with strong computer/technical skills, excellent customer service skills, and keen attention to detail who wants to be part of growing a new community organization.
ESSENTIAL FUNCTIONS
Marketing Support (45%)
- Collect and compile marketing assets from artists/managers, prepare event marketing info based on provided content, and manage storage and distribution of marketing content to those who need it.
- Manage internal marketing content and promotions calendar.
- Distribute digital assets, posters, flyers, news alerts, and information to external partners, including submitting information to calendar listings or events websites.
- Maintain list of marketing asset distribution sites (shops, hotels, restaurants, visitor offices, etc.) and ensure that each site has the most current marketing materials (flyers, brochures, etc.)
- Perform website updates including creating new event pages, ensuring content is timely and accurate, and performing basic edits using provided content.
- Support the development of analytics reports by collecting and consolidating data from various sources, including website analytics, social media metrics, and email campaign results to ensure planned campaigns are achieving desired results.
- Ensure communications channels such as lobby display, off-site digital displays, poster box, and others are regularly updated.
- Collect and/or create content for social media channels including photos and videos, and participate in posting social media content in coordination with marketing consultant.
- Other marketing duties, as requested.
Box Office / Ticketing / Membership (45%)
- Build and manage events in AudienceView Professional database, including managing and tracking holds, discounts, and ADA seating.
- Answer box office phone, respond to email inquiries, assist customers, and process ticket orders.
- Enter pledges, gifts, and payments received in AudienceView Professional database. Enter notes, communications records and other information necessary to ensure complete donor records.
- Prepare and mail donation acknowledgement letters, including specialized letters for recurring gifts, legacy gift intent, in kind donations, multi-year pledges, and other giving methods.
- Serve as the primary point of contact for Brannan Center members, sending out welcome packets, answering questions, assisting with ticket purchases, and providing general customer service.
- Manage membership renewal communications and reminders.
- Maintain clean data in AudienceView Professional through regular data management, merging of duplicate accounts, and ensuring accounts are regularly updated.
- Prepare weekly sales and donation reports.
- Other box office / ticketing / membership duties, as requested.
General Administration Support (10%)
- Provide general administrative support to the Executive Director.
- Assist with planning and execution of donor stewardship events and receptions, including coordinating food & beverage needs. Assist with event set-up and operations as available.
- Assist with tracking of donor recognition and benefits.
- Attend meetings and participate in organization-wide projects and initiatives as assigned.
- Other general administration duties, as requested.
QUALIFICATIONS
The ideal candidate will possess the following skills and characteristics:
- Minimum of two (2) years’ experience in an administrative position or office setting, preferably with a focus on marketing or ticketing.
- Strong customer service experience and commitment to providing excellent service.
- Excellent computer skills, including proficiency with Google Suite and Microsoft Office products. Strong Excel skills are desirable.
- Experience with data entry systems and reporting. Ability to become an expert in the AudienceView Professional database system.
- Knowledge and skill in using social media platforms including Facebook and Instagram, and ability to capture and edit content such as photos and simple videos.
- Excellent written and verbal communication skills and knowledge of communication principles and practices. Strong writing and editing skills are highly desirable.
- Strong organizational skills with great attention to detail.
- A flexible, collaborative, and team-oriented approach to work.
- A sense of humor. Preferably dry.
- A passion for community and the arts.
Preferred Qualifications
- Previous experience in a box office or point-of-sale setting.
- Basic graphic design experience with Adobe Creative Suite or Canva.
- Bilingual in English and Spanish.
Physical Requirements
- Maintain dexterity, vision and coordination, sufficient to perform essential functions.
- Ability to sit and stand, sometimes for extended periods.
Pay: $30.00 - $35.00 per hour
