We are seeking a proactive and detail-oriented Automotive Executive Assistant to join our dynamic team. In this vital role, you will support daily operations related to sales support, service scheduling, parts ordering, title work and administrative tasks. Your energetic approach will ensure smooth workflow, excellent customer interactions, and efficient office management. We are a small team with a close knit dynamic looking for a key player. This is a physically demanding job requiring movement and outdoor work alongside office duties. You will be actively engaged in shop and fleet operations.
Duties
- Manage appointment scheduling for vehicle services using computer systems (Tek Metric, Identifix) and calendar management tools.
- Operate multi-line phone systems, answer incoming calls promptly, and provide accurate information or route calls appropriately.
- Maintain detailed records of vehicle service histories, invoices, and related documentation with precision.
- Support bookkeeping activities using QuickBooks or similar accounting software to process payments and track expenses.
- Assist with office management tasks such as filing, data entry, proofreading documents, and organizing files for easy retrieval.
- Provide exceptional customer service by addressing client questions, offering support, and ensuring a positive experience throughout their visit.
- Maintain a passable knowledge of vehicle conditions in a large rental fleet.
Experience
- Prior service, office, shop or administrative experience with a focus on clerical duties, p&l preferred.
- Bilingual skills are a plus to effectively communicate with diverse clientele.
- Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
- Excellent phone etiquette and professional communication skills for front desk interactions.
- Familiarity with office management procedures, data entry accuracy, and proofing documents for quality assurance. Pay: $30,000.00 - $50,000.00 per year
