Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This individual will provide administrative support to ensure the efficient operation of the office while serving as a key point of communication for both English and Spanish-speaking employees, clients, and vendors. The ideal candidate is professional, dependable, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Answer and direct incoming phone calls, emails, and visitors in both English and Spanish.
- Provide administrative support to various departments as needed.
- Schedule meetings, maintain calendars, and coordinate appointments.
- Prepare, proofread, and distribute correspondence, reports, and other documents.
- Maintain organized filing systems, both electronic and physical.
- Order and manage office supplies and equipment.
- Assist with data entry, recordkeeping, and document management.
- Coordinate travel arrangements and meeting logistics when required.
- Support onboarding and general administrative processes.
- Perform other administrative duties as assigned.
Qualifications
- Fluent in both English and Spanish (spoken and written) is required.
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Previous administrative or office support experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Ability to handle confidential information with professionalism and discretion.
- Strong attention to detail and ability to multitask in a fast-paced environment.
- Positive attitude with excellent customer service skills.
