Job Title: Executive Assistant to the Sr. Vice President
Job Duration: 12 Months Contract – W2
Job location: Midland, Texas 79705 (Hybrid) - (3 days in the office and 2 remote)
Description:
Provides independent assistance to the Sr. Vice President of Land and executive management Team. Responsible for complex and confidential administrative assignments. Requires detailed understanding of the operations of the department and company. Relieves superior(s) of administrative detail and more complex routine tasks. Make independent decisions regarding planning, organizing and scheduling work for self. Provides support for VP or Director.
Essential Functions:
- Responsible for performing tactical and strategic administrative support tasks for SVP .
- Coordinate complicated travel for SVP.
- Administer detailed travel reimbursements in accounting platform (Concur).
- Responsible for heavy calendar management, including the coordination of management meetings, calendar invites, room scheduling, and scheduling conference calls.
- Establishes and maintains strong working relationships with members of the executive leadership team and other administrative professionals.
- Organize, prepare, file and manage complex documents using a variety of applications, such as standard office software. Gather and analyze data and prepare complex reports, agendas, minutes of meetings, and tailored letters and emails for approval by executives and senior employees. Draft, proofread, redact, and revise documents such as contracts, memorandum, and correspondence. Manage and track actions and outcomes.
- Manages communication with external parties, including executives, board members, and industry leaders. Facilitates and participates in various meetings, regularly preparing minutes and tracking action items. Initiate contact internally and externally on a regular basis to convey requests, provide instructions, or obtain information on behalf of a senior colleague.
Minimum Qualifications:
Bachelor’s degree and 4 years of administrative experience, OR Associate’s degree and 6 years of administrative experience, OR High School diploma or GED and 8 years of administrative experience
Preferred Qualifications:
Experience supporting executives.
Expertise in use of standard software applications such as Outlook, Excel, PowerPoint, Microsoft Word
Pay: $35.00 - $40.00 per hour
