Responsibilities
Executive Assistant Duties
- Provide high-level administrative support to the team leader
- Manage leader’s calendar, email communications, and draft responses
- Assist with task management, follow-ups, and project coordination
- Prepare reports, presentations, and documents
- Help streamline systems and improve processes
- Coordinate meetings, events, and client touchpoints
- Handle confidential information with professionalism and discretion
- Event planning and coordination
Listing Coordination Duties
- Oversee the master transaction tracker to keep listings updated
- Track key dates, deadlines, and deliverables for each listing
- Manage all aspects of the listing process from intake to closing
- Prepare listing CMAs and presentations
- Prepare listing paperwork, agreements, and disclosures with accuracy and timeliness
- Coordinate photography, staging, inspections, and other pre-market activities
- Input and maintain listings in MLS and other marketing platforms
- Ensure all listings are compliant with brokerage and MLS requirements
- Communicate regularly with sellers to provide updates
- Manage marketing specialist to ensure timely and accurate delivery
- Work closely with agents to ensure listings are launched effectively
Qualifications
- Prior experience in real estate administration is highly preferred, but not required
- Extremely strong organizational skills with exceptional attention to detail
- Highly reliable and professional at all times
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Excellent written and verbal communication skills
- Tech-savvy with experience in MLS, CRM systems, and Google Workspace
- Problem-solver with a proactive mindset and ability to anticipate needs
- Ability to work independently and be self-directed
