OVERVIEW
This is a full-time, on-site role supporting both the Principal and the President of an active single-family office. Serving as a trusted partner to both leaders, you will manage executive support, office operations, financial administration, and personal logistics across a diverse portfolio of business interests, philanthropic activities, residential properties, and personal affairs.
You will work closely with the family office team to ensure the smooth day-to-day operation of the office while providing high-touch executive and personal support. The role spans both professional and personal domains and requires someone who is highly organized, proactive, discreet, and comfortable operating in a dynamic environment where priorities shift and no two days look the same.
The right candidate is exceptionally organized, proactive, and discreet—someone who takes ownership of the details, anticipates needs before they arise, and is energized by variety and a genuinely hands-on role. This is an in-person position; a meaningful part of the work involves being physically present in the office to handle on-site needs.
RESPONSIBILITIES
Executive & Business Support
- Oversee executive support across the principal’s personal and professional activities
- Train and develop the team member responsible for calendar, scheduling, travel, and administrative coordination
- Ensure meetings, correspondence, follow-up, board activities, and key commitments are managed proactively
- Oversee personal and business travel planning and related logistics
- Serve as backup for calendar, travel, and executive support as needed
- Ensure expenses, records, files, and contact lists are accurate and organized
- Improve executive support processes and systems
Project Management
- Manage special projects from start to finish—coordinating vendors, timelines, budgets and documentation (e.g., asset sales, property projects, and other one-off initiatives)
- Support the rollout of new office systems, tools, and technology (including accounting and AI tools) in partnership with the head of the family office
- Develop, document, and maintain office standard operating procedures and the family office operating manual
- Support party planning and event logistics
Financial Operations
- Own the bill-pay function: document, classify, and pay invoices, and track refunds
- Manage payroll (with approval from the head of the family office)
- Prepare the annual budget
- Manage petty cash—refill, reconcile transactions, and provide periodic reports
- Manage property tax payments and maintain property-related deduction logs
- Prepare and process transactions, wires, and capital calls through the family’s financial institutions (with approval from the head of the family office)
- Liaise with outside financial partners and advisors
On-Site & Office Management
- Run errands and handle day-to-day on-site office needs
- Manage filing and storage systems
- Support household staff scheduling and maintain master schedules
- Manage office payroll
- Assist with HR processes, including onboarding, offer letters, and enrollment
- Provide light IT support and oversee external IT partner
Property Administration
- Serve as a primary point of contact for contractors, service providers, and property-related projects
- Maintain operational records across residential properties
- Manage record-keeping and renewals for home, auto, and boat insurance policies
- Maintain records and appraisals for artwork and other valuable assets
- Liaise with insurance representatives and process updates and reporting as needed
- Coordinate vehicle maintenance, registration, and related logistics
CANDIDATE PROFILE
- 5+ years as an executive assistant, personal assistant, or in a comparable high-trust support role, ideally supporting a senior principal or executive
- Comfortable operating across both professional and personal domains
- Strong financial and bookkeeping acumen—comfortable owning bill pay, payroll, budgeting, and financial record-keeping
- Exceptionally organized, detail-oriented, and reliable, with strong follow-through
- Proactive and resourceful—anticipates needs and takes ownership of the details
- Discreet, trustworthy, and able to handle sensitive matters with the utmost confidentiality
- Strong communicator, comfortable engaging with vendors, advisors, and senior contacts
- Able to work on-site full-time and handle hands-on, in-person office duties
- Technically fluent and comfortable using modern tools (including AI) to work efficiently
- Calm under pressure, flexible, and able to juggle competing priorities with good judgment

Pay: $90,000.00 - $150,000.00 per year
