The Role
This position combines two essential functions of our firm: welcoming every client who walks through our doors and keeping the corporate records for roughly 250 business clients accurate, organized, and filed on time.
Your mornings may start with filing annual reports and preparing corporate minutes. By afternoon, you could be greeting clients, directing calls, and making sure our office runs smoothly. The work is varied, and that is part of what makes this role fun and rewarding.
This is not an entry-level position. We need someone who has demonstrated, in previous roles, that they can manage competing responsibilities, maintain organized systems, and produce consistently accurate work. The corporate records side of this role requires attention to detail, proficiency with Microsoft Word, and a love for creating quality documents on a repeated basis. The front office side requires someone who is naturally warm, upbeat, and professional every single day.
What You Will Do Front Office
- Welcome clients and visitors with a warm, professional demeanor. You are the first impression of our firm.
- Answer and route incoming calls, take messages, and ensure callers reach the right person promptly.
- Schedule appointments and prepare conference rooms for client meetings.
- Handle all incoming and outgoing mail, packages, and deliveries.
- Coordinate daily bank deposits and courthouse document pickups.
- Keep the reception area clean, organized, and presentable.
- Assist with ordering supplies and general office coordination.
Business Services
- Manage annual minutes and annual report filings with the Kentucky Secretary of State for business clients.
- Draft initial entity formation documents, including Operating Agreements, Bylaws, Articles of Organization/Incorporation, and organizational meeting minutes.
- File new entity paperwork with the Secretary of State and obtain Employer Identification Numbers from the IRS.
- Maintain the firm’s corporate records database with accuracy.
- Assemble and maintain corporate record books and binders.
- Communicate with clients regarding document execution, filing status, and outstanding obligations.
- Assist attorneys with other business matters as needed.
- Monitor compliance deadlines and proactively flag issues before they become problems.
Who You Are

- Exceptionally organized. You keep lists, you check them, and you do not let deadlines slip. A clean, accurate database is not a chore for you, it is a point of pride.
- Detail-oriented in your document work. You catch the typo, the wrong date, the missing signature line.
- Coachable and consistent. You like to learn new things and are open to feedback. Once you learn something, you can reproduce quality work consistently.
- Proficient with Microsoft Office (Word, Excel, Outlook) and comfortable learning new software and database tools.
- Able to juggle competing priorities. When three things need attention at once, you stay calm and get them done in the right order.
- Professional in appearance and manner, with strong written and verbal communication skills.
- Reliable. You show up on time, you follow through, and people can count on you.
- Easy to work with. You contribute to a positive office culture, handle feedback gracefully, and genuinely like meeting people and making friends.
Previous experience in a law firm or professional office is a plus, but we do not require it. What matters most is the right combination of organizational skill, attention to detail, and work ethic. If you have worked in a role where accuracy and client service were part of your daily routine, those skills translate well here. We are willing to train the right person even if you have not previously worked in a legal setting.

- You are looking for something temporary or a stepping stone. We are hiring for the long term.
- Detailed, repetitive work frustrates you. Much of the corporate records work is form-driven and requires the same careful attention the hundredth time as the first.
- You have difficulty keeping track of multiple deadlines across files or clients.
- You prefer to work with minimal client and colleague interaction. This role requires you to be present and engaged with clients and callers throughout the day.
