Position Summary
We are seeking an organized and dependable HR / Payroll Assistant to support the day-to-day human resources and payroll functions of the company. This position is ideal for someone with 1–2 years of HR, payroll, or related administrative experience who is interested in building a long-term career in Human Resources.
The HR / Payroll Assistant will be involved in the full employee lifecycle, including recruitment, onboarding, employee records, timekeeping, payroll processing, benefits administration, employee relations support, compliance, performance management administration, and employee separations.
Because payroll and many HR responsibilities operate on recurring deadlines, this position requires strong attention to detail, confidentiality, organization, follow-through, and the ability to manage multiple priorities. The successful candidate should be willing to learn, ask questions, take ownership of responsibilities, and become increasingly independent and knowledgeable in HR and payroll operations.
This is a hands-on position with the opportunity to develop broad HR and payroll experience while becoming a key resource in supporting employees and company operations.
Key Responsibilities
Payroll & Timekeeping
- Assist with the preparation and processing of employee payroll.
- Review employee timesheets and time records for completeness and accuracy.
- Verify regular hours, overtime, leave, holidays, and other payroll-related information.
- Follow up with employees and supervisors regarding missing, incomplete, or inaccurate time records.
- Enter and maintain payroll information, including deductions, adjustments, pay rate changes, and employee status changes.
- Maintain accurate payroll records and supporting documentation.
- Assist with payroll reports, reconciliations, and other payroll-related administrative tasks.
- Respond to routine employee payroll questions and assist with resolving discrepancies.
- Maintain strict confidentiality of employee compensation and payroll information.
Human Resources
- Assist with recruitment activities, including job postings, applicant tracking, interview scheduling, and candidate communication.
- Prepare new-hire paperwork and assist with employee onboarding and orientation.
- Maintain accurate and organized personnel files and employee records.
- Process employee status changes, transfers, promotions, pay changes, and separations.
- Track introductory periods, performance review dates, employee documentation, and other HR deadlines.
- Assist with benefits enrollment, employee benefit changes, and related recordkeeping.
- Prepare routine HR correspondence, forms, notices, and reports.
- Respond to routine employee questions regarding company policies, benefits, payroll, and HR procedures.
- Assist with performance evaluation administration and employee documentation.
- Provide administrative support for employee relations and disciplinary matters as directed.
- Assist with employee offboarding and separation procedures.
HR Administration & Compliance
- Maintain organized and accurate electronic and physical HR records.
- Update employee information in payroll, HR, and company systems.
- Monitor recurring HR deadlines and required documentation.
- Assist with employment verifications and other employee information requests.
- Assist with HR audits, reporting, recordkeeping, and compliance requirements.
- Maintain confidentiality and appropriately handle sensitive employee and company information.
- Assist with HR projects and improvements to HR and payroll processes.
- Perform other HR, payroll, and administrative duties as assigned.
Qualifications
- Minimum of 1–2 years of experience in human resources, payroll, accounting, office administration, or a related field.
- Associate's or Bachelor's degree in Human Resources, Business Administration, Management, Accounting, or a related field preferred.
- Previous experience with payroll, timekeeping, or employee records preferred.
- Experience with QuickBooks or QuickBooks Enterprise is a plus.
- Proficiency with Microsoft Word, Excel, Outlook, and general office applications.
- Strong attention to detail and accuracy.
- Strong organizational and time-management skills.
- Ability to prioritize responsibilities and meet recurring deadlines.
- Comfortable working with numbers, spreadsheets, employee records, and administrative systems.
- Strong written and verbal communication skills.
- Ability to communicate professionally with employees, supervisors, management, and outside parties.
- Ability to maintain confidentiality and exercise good judgment when handling sensitive information.
- Ability to follow established procedures while recognizing when questions or issues should be brought to management's attention.
- Willingness to learn, accept feedback, and take on increasing responsibility.
