Position Overview
Magdan Construction is seeking a reliable and organized Administrative Assistant to support daily office operations. The ideal candidate is detail-oriented, tech-savvy, and comfortable handling administrative tasks related to construction projects, insurance documentation, billing, and office coordination.
Key Responsibilities
- Provide administrative support for daily office operations
- Assist with insurance-related documentation and project paperwork
- Manage billing, invoicing, and basic accounting tasks
- Maintain and organize digital and physical files
- Prepare documents, spreadsheets, and reports using Microsoft Word and Excel
- Communicate with clients, insurance companies, and team members as needed
- Assist with scheduling, email management, and general office coordination
- Support marketing efforts such as updating social media, basic website updates, or promotional materials (a plus)
Qualifications
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with billing, invoicing, or basic accounting tasks
- Strong organizational and multitasking skills
- Excellent communication and customer service skills
- Comfortable learning and using new technology and software
- Previous administrative experience preferred
- Experience in construction, restoration, or insurance-related fields is a plus
- Marketing or social media experience is a bonus
- Bilingual (English/Polish) candidates preferred
