Position Summary & Responsibilities:
We are hiring two Administrative Specialist positions.
Administrative Specialist in Death and Disability Unit
In this role you will be responsible for preparing and imaging documents and for data entry and review of beneficiary forms. Responsibilities will include:

Review, prepare, sort, and prioritize documents for imaging according to agency procedures and records retention requirements.

Scan and accurately index documents using established bar code and imaging guidelines.
-
Audit scanned documents to verify indexing accuracy before authorizing them into the KPERS Information Technology System (KITS).
-
Identify and correct imaging or indexing errors by deleting, reorganizing, or updating documents as needed.
-
Review beneficiary forms for completeness and enter the information into the member’s record.
-
Communicate with members, employers, supervisors and staff to resolve discrepancies and ensure document accuracy.

Provide courteous, professional customer service to members, employers, and coworkers.
Administrative Specialist in Withdraw and Service Purchase Unit
In this role you will be responsible for processing mail, reception duties and data entry. Responsibilities will include:

Serving as the primary mail handler by sorting, organizing, processing, and distributing incoming and outgoing mail, including preparing large mailings and operating automated mail equipment.

Acting as the primary backup to the Retirement System's receptionist by welcoming visitors, answering incoming calls, scheduling appointments, and directing customers to the appropriate staff.

Creating a professional, friendly, and positive first impression for members, employers, and visitors.
-
Reviewing applications and forms for completeness and accuracy before entering information into the agency's information technology system.
-
Performing accurate data entry while following established procedures, policies, and business processes.
-
Providing administrative support that helps improve workflow and efficiency across one or more functions within the Division.

Experience Required
Qualified candidates should have three years of experience in general office, clerical, or administrative support work. Education or a technical certificate may be substituted for one year of required experience.
