Corporate legal assistant position, contract through September.
Oil and gas company in Downtown Houston
Key Responsibilities
- Manage and maintain Master Service Agreements (MSAs), including onboarding new vendors and updating the Approved Vendor List (AVL).
- Coordinate and track FCPA approvals and administer annual compliance training requirements.
- Review, code, and process invoices in DocVue, ensuring accuracy and timely submission.
- Administer and approve Gifts & Hospitality requests in compliance with company policies.
- Maintain complex calendars, schedule meetings, and coordinate logistics for leadership and the broader Legal team.
- Provide comprehensive administrative support to the Legal department, ensuring smooth day-to-day operations.
- Support ESG initiatives by coordinating meetings, drafting communications, preparing presentations, and capturing meeting minutes.
- Manage training room scheduling and track utilization.
- Coordinate and manage travel arrangements for leadership, including detailed itineraries and expense tracking.
- Oversee general administrative functions, including answering calls, drafting correspondence, and preparing reports and presentations.
- Maintain organized document and file management systems to ensure accuracy, accessibility, and compliance.
- Provide on-site meeting and event support for executives, ensuring seamless execution.
- Track departmental expenses and prepare detailed, accurate expense reports.
- Coordinate meetings, travel, and event logistics with a high level of professionalism, discretion, and attention to detail.
- Leverage technology to support document formatting, editing, and overall process efficiency.
Qualifications & Preferred Skills
- Proficiency in Microsoft Excel and PowerPoint.
- Strong technical aptitude, including document formatting, editing, and system navigation.
- Experience supporting scheduling, meeting coordination, and conference room bookings.
- Corporate legal experience required (non-litigation environment).
- Spanish language skills (reading and/or speaking) preferred, but not required
Pay: Up to $30.00 per hour
