Position Summary
Stowell Crayk is seeking a detail-oriented and highly organized Administrative Assistant to support the chief operations officer with administrative operations including calendar management, communications management, case management, process documentation, and quality control. This position plays a critical role in maintaining accurate scheduling, ensuring consistency across internal systems, supporting case management workflows, and assisting with special projects. The ideal candidate is a self-starter, thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can manage multiple priorities with accuracy and professionalism.
Schedule
- Part-time: 25–30 hours per week

Key Responsibilities
Calendar Management
- Manage and maintain multiple firm calendars
- Perform daily calendar reviews
- Track deadlines and project status
- Plan for next-day operations
Communication Management
- Direct client communications to appropriate staff
Case and File Management
- Support reassignment of cases among assistants
- Update vital case information
- Ensure consistency between file platforms
Administrative Projects
- Complete annual administrative projects as assigned
- Assist with closing client files
- Create and maintain Standard Operating Procedures
- Update weekly assistant training materials and resources
Quality Control and Data Accuracy
- Regularly audit information across firm systems to ensure accuracy and consistency
- Monitor deadlines, hearing dates, and case information for discrepancies
- Maintain organized records and documentation to support efficient operations
- Review project statuses and ensure project tracking is kept up-to-date
Qualifications
- Previous administrative assistant, legal assistant, office coordinator, or related experience preferred
- Familiarity with immigration legal procedures is helpful but not required
- Strong organizational and time management skills
- Exceptional attention to detail and accuracy
- Ability to manage multiple calendars and deadlines simultaneously
- Proficiency with Google Workspace and database/case management software is preferred
- Strong written and verbal communication skills
- Ability to work independently and maintain confidentiality
- Willing to sign a privacy and confidentiality agreement
- Bilingual (English/Spanish) is required

Stowell Crayk, PLLC has one of the largest crimmigration practices in the Intermountain West and specializes in the intersection between criminal and immigration law. The firm also handles criminal defense, personal injury, and family law cases.
Office hours are Monday – Friday, 9:00am – 5:00pm.
