Duties
- Greet visitors warmly, verify appointments, and direct them appropriately to ensure a professional first impression
- Manage multi-line phone systems with confidence, answering inquiries promptly and routing calls accurately using proper phone etiquette
- Handle incoming correspondence, including emails, mail, and packages, with efficiency and attention to detail
- Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents and records
- Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
- Perform data entry and bookkeeping functions using software like QuickBooks and Microsoft Office applications
- Assist with clerical duties including proofreading documents, preparing reports, managing inventory supplies, and supporting administrative projects
Experience
- Proven experience working at a front desk or in an office environment with strong customer service skills
- Familiarity with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
- Previous clerical or administrative experience that showcases organizational skills, time management, and attention to detail
- Experience with bookkeeping software such as QuickBooks or similar platforms is a plus
