Medical Records Specialist

Job Summary
We are a behavioral health company specializing in providing traditional and innovative psychiatric and psychotherapy services throughout the Mid-Atlantic. As we continue to grow through expansion and organizational mergers, we are seeking a highly organized and detail-oriented Medical Records Specialist to join our team.
This role is responsible for maintaining the accuracy, security, and compliance of patient medical records while managing a high volume of daily medical records requests. The ideal candidate will have extensive experience in medical records management, a strong understanding of HIPAA and healthcare compliance requirements, and the ability to work efficiently in a fast-paced environment.

- Process a high volume of incoming medical records requests accurately and efficiently.
- Review, retrieve, prepare, and release patient medical records in accordance with HIPAA, state, and federal regulations.
- Ensure all medical records are complete, accurate, and properly maintained within the electronic health record (EHR) system.
- Maintain strict confidentiality and safeguard protected health information (PHI) at all times.
- Verify authorizations for release of information and ensure all documentation meets compliance standards before records are released.
- Respond to requests from patients, healthcare providers, attorneys, insurance companies, and other authorized parties in a timely and professional manner.
- Scan, upload, index, and organize medical documentation into the electronic medical record system.
- Monitor records for completeness and communicate with clinical staff regarding missing or incomplete documentation when necessary.
- Maintain detailed documentation of records requests and releases.
- Assist with audits and ensure compliance with company policies, HIPAA regulations, and applicable state and federal guidelines.
- Communicate professionally with patients, providers, coworkers, and leadership while providing excellent customer service.
- Perform other duties related to medical records management as assigned by your supervisor.
- Have reliable transportation and be able to work the assigned schedule.
Skills and Requirements
- High school diploma or GED required.
- Minimum of 2 years of experience in medical records required; behavioral health experience is preferred.
- Strong working knowledge of HIPAA, Release of Information (ROI) procedures, and healthcare compliance regulations required.
- Experience processing a high volume of medical records requests in a fast-paced healthcare environment.
- Experience with AdvancedMD or another electronic health record (EHR) system is highly preferred.
- Must be able to type at least 35 WPM.
- Must be available to work an 8-hour shift between Monday–Friday, 8:00 AM – 5:00 PM.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks and meet deadlines while maintaining accuracy.
- Excellent written and verbal communication skills.
- Proficient with Microsoft Windows, Word, Excel, and Outlook.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

Pay: $20.00 - $23.00 per hour
