Duties
- Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times
- Answer, screen, and route incoming calls using multi-line phone systems with courtesy and efficiency
- Manage appointment scheduling, calendar management, and coordinate meetings for staff members
- Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using Microsoft Office and Google Workspace tools
- Handle clerical tasks such as proofreading documents, managing correspondence, and processing invoices with attention to detail
- Support office management activities including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by addressing inquiries promptly and professionally in person or via phone or email
Skills
- Proven experience in office administration or receptionist roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi-line phone systems, phone etiquette, and front desk operations
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with high accuracy for data entry tasks and proofreading documents
- Knowledge of QuickBooks for bookkeeping and basic office management functions
- Exceptional customer service skills with a friendly demeanor and professional appearance
- Ability to multitask efficiently while managing time effectively in a fast-paced environment
- Previous experience as a medical or dental receptionist is a plus but not required; relevant personal assistant experience is beneficial
