Position Overview
The Operations & Fulfillment Coordinator supports core operational workflows across both brands, ensuring accurate order processing, shipping execution, inventory control, repair coordination, and international logistics. This role is critical to maintaining efficiency, system accuracy, and a high standard of customer experience across all jewelry categories, including rings, necklaces, earrings, bracelets, and custom pieces.
Key Responsibilities
Order & Shipping Execution
- Review, prepare, and release Shopify orders for fulfillment across both brands
- Generate and manage FedEx, USPS, and APO/Army shipping labels
- Assemble complete shipping documentation, including invoices, GIN, and packing materials
- Provide daily shipment updates and ensure on-time dispatch
Inventory & Systems Management
- Maintain accurate GIN and invoice documentation
- Process memo transactions and contract-in / contract-out entries
- Conduct monthly inventory audits (diamonds, studs, shelf stock, home preview, influencer, reserve, and line items)
- Ensure real-time updates within Shopify and internal ERP systems
Repairs & Production Coordination
- Inspect and document resize, repair, recraft, and exchange requests
- Coordinate outbound shipments to fixers and production partners
- Verify inbound returns for quality and documentation accuracy
International Logistics
- Manage shipments to India for melts, returns, and production orders
- Reconcile incoming international shipments with inventory records
Operational Support
- Resolve order discrepancies and shipping issues
- Support packing operations to ensure accuracy and proper supply levels
- Assist with operational reporting and cross-functional coordination
Qualifications
- 3+ years experience in jewelry operations, fulfillment, or logistics
- Experience working with Shopify or similar order management systems
- Strong attention to detail and organizational skills
- Ability to manage multiple workflows in a deadline-driven environment
- ERP or inventory management system experience preferred
Pay: $20.00 - $25.00 per hour
