Generations Healthcare is looking for a Procurement / Purchasing Coordinator to join our team. This position is full time, remote, and comes with a robust benefit package.
Position Overview:
The Procurement / Purchasing Coordinator provides operational support for the Generations Healthcare’s procurement and procure-to-pay (P2P) functions. This position is responsible for assisting with purchase order and invoice processing, maintaining procurement system data, supporting Accounts Payable workflows, monitoring purchasing compliance, and providing user support within the Company's procurement platform. The Procurement Coordinator works closely with Finance, Accounts Payable, facility staff, and vendors to ensure accurate purchasing transactions, timely invoice processing, and adherence to established procurement processes.
Essential Responsibilities:
Assist with invoice processing activities by reviewing purchase orders, receipts, and invoices and identifying discrepancies requiring resolution.
Support Accounts Payable by reviewing invoice coding and assisting with corrections to ensure accurate financial reporting.
Manage assigned procurement system workflows, including processing exception invoices and hosted catalog invoices.
Research and resolve vendor invoice issues, including pricing discrepancies, quantity variances, over-shipments, and non-purchase order charges.
Monitor open and unreceived purchase orders and follow up with facility staff and requesters to ensure timely receipt and payment processing.
Assist with maintaining procurement catalogs, including item descriptions, pricing, vendor information, and classification standards.
Support month-end closing activities, including reporting and reconciliation of patient billable expenses and procurement-related transactions.
Generate, compile, and distribute procurement and purchasing reports, including recurring and ad hoc reporting requests.
Assist in identifying purchases that do not comply with established procurement policies and approved purchasing processes.
Provide support for procurement system users by answering questions and assisting with purchasing workflows.
Assist with onboarding and training new procurement system users, including maintaining job aids, training materials, and quick reference guides.
Collaborate with Finance, Operations, Accounts Payable, and facility teams to support efficient purchasing processes and continuous improvement initiatives.
Maintain procurement records and documentation in accordance with Company policies and procedures.
Other duties as assigned.
Knowledge, Skills, and Abilities:
Knowledge of procurement, purchasing, accounts payable, or supply chain processes preferred.
Exposure to procurement or ERP systems such as Vroozi, NetSuite, or similar platforms preferred.
Strong attention to detail with a focus on data accuracy and quality.
Ability to identify discrepancies, analyze information, and resolve routine transactional issues.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Effective verbal and written communication skills.
Ability to work collaboratively with internal departments, facility personnel, and vendors.
Ability to learn new systems, processes, and technologies quickly.
Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
Ability to adapt to changing priorities in a fast-paced environment.
Education and Experience:
Associate degree in Business Administration, Supply Chain Management, Finance, Accounting, or a related field preferred
Minimum one (1) year of experience in procurement, purchasing, accounts payable, accounting support, supply chain, or administrative operations preferred.
Experience working with procurement software, ERP systems, or accounts payable systems preferred.
Healthcare, long-term care, behavioral health, or multi-site operations experience preferred.
