Job Summary
Fx3 Management LLC (the “Company”) is seeking a Family Office Administrator to assist with the daily administrative, financial, and operational functions of its affiliated family office entity. This role requires a detail-oriented, organized, and proactive individual to act as the primary liaison between the Company’s Principals and their internal and external advisory teams.
This position is a hybrid role comprising a mixture of remote work with occasional on-site presence as needed at the Company’s headquarters in Boulder, CO or at the Principals’ primary residence in Longmont, CO. This position is contract and expected to last from 90 to 120 days, with the possibility of being hired on full-time. Hours are Monday through Friday, during the Company’s standard business hours of 8am-5pm MT. Part-time, overtime, and flex scheduling arrangements may be available.
Reliable transportation is required; transportation or travel arrangements outside of standard work locations may be expensed and/or mileage reimbursed accordingly.
Essential Functions & Responsibilities
- Serve as the primary point of contact for the family office to both internal and external parties and respond timely and professionally to inquiries and documentation requests
- Work with the Principals and their advisory teams to determine annual contribution goals, vet charitable organizations, manage donation and foundation activities, and plan special and annual events
- Perform other related tasks as needed
- Organize and maintain the Principals’ email inboxes, calendars, and schedules with a high attention to detail
- Keep meticulous financial, organizational, and personal records while utilizing professional discretion
- Routinely sort and process mail, review invoices, and remit timely payments to the appropriate vendors or governmental authorities
- Assist with residential property administration needs, including but not limited to coordinating improvements, facilitating maintenance requests, assessing domestic staff and labor needs, and maintaining major fixed assets
- Assist with developing and maintaining the Principals’ personal financial statements (PFSs) to holistically illustrate net worth, cash flow, and investment performance
- Assist with tracking and maintaining family office and personal budgets and expenses
Requirements and Qualifications
- Completed college or professional-level coursework in Accounting, Finance, Paralegal Studies, or a similar field is strongly preferred; a completed 2 or 4-year degree is preferred, but not required
- Prior office experience in professional services firms, such as a law firm, public accounting firm, or wealth management firm, is preferred, but not required
- Professional-level proficiency in standard office suites (particularly spreadsheet and presentation applications, such as MS Excel and PowerPoint), email and calendar management software (such as MS Outlook), project management software (such as Asana), Adobe PDF, virtual conferencing software (such as MS Teams), and similar applications is required
- Required to handle sensitive information with discretion and professionalism; a standing nondisclosure agreement is mandatory
- Professional presence and strong presentation, verbal, and written communication skills required
- Valid US driver's license, reliable transportation, and clean driving record required
Physical Requirements
- Work conditions generally consist of professional settings via remote, general office, and residential household environments. These may include sitting at a computer for prolonged periods of time and standing, carrying, pushing and/or pulling loads up to 50 lbs.
- Ability to routinely commute to and within the greater Boulder County, CO area is required
Pay: $27.00 - $33.00 per hour
