Position Overview
The Operations Coordinator supports Rethink Electric’s Operations & Maintenance (O&M) team by managing system workflows, coordinating operational activities, and ensuring accurate tracking of maintenance, procurement, vendor activity, and financial follow-up across the solar portfolio.
This role is highly systems- and coordination-focused, serving as a central point of execution across O&M operations. The position requires daily use of SiteTracker (work orders, scheduling, inventory, & documentation) and AlsoEnergy (portfolio monitoring and alarms).
This position reports to the Director of O&M and partners closely with Operations, Asset Management, Procurement, Accounting, and Field Service teams.
There is no managing of personnel or field work responsibilities. The role is primarily office-based with potential hybrid flexibility long-term.
Key Responsibilities
O&M Systems Administration & Work Order Management
- Administer and maintain SiteTracker, including maintenance scheduling, work order tracking, inventory records, and documentation standards.
- Ensure preventive and corrective maintenance work orders are accurately documented, updated, and closed in a timely manner.
- Maintain data integrity and consistent reporting across O&M systems.
Monitoring & Issue Coordination
- Monitor portfolio status and system performance through AlsoEnergy.
- Track alarms, outages, and underperforming sites, and coordinate escalation of offline systems and operational issues to appropriate internal stakeholders.
- Ensure timely follow-up and documentation of all operational issues and resolutions.
Procurement & Vendor Coordination
- Coordinate purchase orders, parts ordering, vendor communication, and material deliveries.
- Support subcontractors and OEM coordination to ensure timely fulfillment of operational needs.
Warranty & RMA Management
- Track OEM warranty claims and RMA processes from submission through resolution.
- Coordinate with manufacturers and vendors for replacements, warranty validation, and closure.
Financial & Operational Tracking
- Track billable work, reimbursable activities, and invoice status.
- Support follow-up on outstanding customer balances with Accounting.
- Maintain accurate operational and financial records related to service activity.
Cross- Functional Coordination
- Serve as a central coordination point across Operations, Engineering, Asset Management, Procurement, Accounting, and Field teams.
- Coordinate scheduling, technician support requests, and operational follow-through across systems and stakeholders.
Qualifications
- 1–3+ years of experience in operations coordination, project coordination, administrative support, supply chain coordination, or similar roles.
- Experience in solar, wind, utilities, oil & gas, industrial facilities, or transportation is strongly preferred.
- Strong experience working with operational work management systems, tracking tools, and structured workflows.
- Strong organizational skills with high attention to detail and consistent follow-through.
- Experience supporting vendor and procurement coordination, including purchase orders, parts ordering, and delivery tracking.
- Strong written and verbal communication skills with experience coordinating across multiple stakeholders and functions.
- Proficiency in Microsoft Office Suite and operational tracking platforms.
- Experience with SiteTracker and/or AlsoEnergy is strongly preferred.
Education
- Bachelor’s degree preferred but not required for candidates with strong relevant experience.
- For less experienced candidates, a degree in business, operations, supply chain, or a related field is preferred.
