About the Role
Nventric is seeking an experienced Human Resources & Payroll Specialist to support our growing California-based business. This is a hands-on, full-time, on-site role responsible for HR administration, payroll, compliance, employee support, HR systems management, and general business support functions.
We are looking for someone highly organized, dependable, detail-oriented, and comfortable wearing multiple hats in a small business environment. The ideal candidate is resourceful, professional, technologically capable, and able to work independently while supporting both employees and leadership.
This role requires strong technical and software proficiency. Our company relies heavily on modern software platforms and digital processes, including HRIS/payroll systems, cloud-based tools, reporting platforms, and workflow systems. Candidates should be comfortable learning new technology quickly, troubleshooting issues, maintaining accurate data, and serving as an internal administrator for various software systems, including Rippling HRIS and payroll.

Key Responsibilities
Payroll & HR Administration
- Process semi-monthly payroll accurately and on time
- Manage payroll-related items including PTO tracking, deductions, garnishments, and timekeeping records
- Maintain accurate employee records, HR documentation, and compliance files
- Administer onboarding, offboarding, employee changes, and related HR processes
- Support benefits administration including medical, dental, vision, 401(k), and workers’ compensation programs
- Assist with leave administration including FMLA, CFRA, PDL, ADA accommodations, and related documentation
Compliance & Employee Support
- Help ensure compliance with California and federal employment regulations
- Maintain HR policies, employee handbook updates, required postings, and internal procedures
- Support employee relations matters, workplace investigations, performance documentation, and corrective action processes
- Serve as a professional and confidential resource for employees and managers
- Coordinate with external vendors including payroll providers, benefits brokers, insurance carriers, and consultants
HR Systems & Technology
- Maintain HRIS and payroll systems, ensuring accuracy and data integrity
- Assist with continued implementation, administration, and optimization of Rippling HRIS/payroll platform
- Generate reports, maintain digital records, and support internal process improvements
- Troubleshoot HR/payroll system issues and assist employees with system-related questions
- Support implementation and administration of additional business software platforms as needed
Administrative & Business Support
- Assist with recruiting coordination, resume screening, interview scheduling, and onboarding logistics
- Support general office administrative functions and special projects as needed
- Assist with various business support tasks in a collaborative small business environment
- Provide additional organizational support to leadership and management teams when necessary
Qualifications
Required
- 5+ years of hands-on HR and payroll experience
- Experience processing payroll using systems such as Rippling, ADP, Paychex, or similar platforms
- Strong understanding of California employment laws and HR compliance requirements
- Strong technical aptitude and comfort working across multiple software platforms simultaneously
- Experience serving as an administrator or power user for HRIS, payroll, benefits, or business systems
- Ability to quickly learn, troubleshoot, and adapt to new software platforms and digital workflows
- Highly proficient with computer systems, spreadsheets, reporting tools, and cloud-based business software
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and maintain accuracy in a fast-paced environment
- High level of professionalism, discretion, and confidentiality
- Strong written and verbal communication skills
- Comfortable working fully on-site in Arcadia, California
Preferred
- Experience with Rippling HRIS/payroll platform
- Experience working in a small business or growing company environment
- Prior experience supporting HR, payroll, office administration, bookkeeping, or business support functions
- Bachelor’s degree and/or HR certification (PHR, SHRM-CP, etc.)
- Experience supporting regulated industries such as biotech, medical device, engineering, manufacturing, or professional services
- Familiarity with leave administration, workplace compliance programs, E-Verify, and safety training requirements
- Experience with HRIS implementation or system transitions
