Requirements
- High School Diploma or GED equivalent
- Medical Assistant Diploma from an approved school /institution or equivalent documented training.
- Current BLS (Basic Life Support) through American Heart Association.
- Minimum 1 year Medical Assistant with strong experience with PEDS/Neuro
- Strong customer service skills with a friendly and approachable demeanor
- Thrives in a fast-paced environment
- Enjoys working with pediatric patients
- EPIC experience
- Outgoing personality with comfortability providing direct customer/patient facing interactions
Preferred
- Previous Stanford Health Care or Stanford Children's experience (highly preferred)
- Certified Medical Assistant
- Neuro experience (highly preferred)
- Bilingual in Spanish (highly preferred)
Responsibilities
- Rooming patients in both ENT/AERO settings, ensuring comfort and preparing them for examinations and treatments.
- Room pediatric neurosurgery patients, obtain vitals, growth metrics, and relevant medical history.
- Prepare patients and assist providers during neurological exams, post-operative follow-up visits, and clinic-based procedures.
- Support neurosurgeons by preparing exam rooms, ensuring sterility of equipment as needed, and maintaining readiness for complex patient needs.
- Perform basic neuro checks (per scope) such as monitoring gait, balance, coordination, cranial nerve observations, and documenting findings for the provider.
- Administer vaccines or medications as permitted under MA scope.
- Assist with suture/staple removal, wound care preparation, and post-operative education under provider direction.
- Coordinate imaging appointments (MRI, CT) and ensure necessary pre-authorization documentation is complete.
- Schedule follow-up visits, surgical consults, and multidisciplinary appointments.
- Support families in preparing for surgery, follow-up care, and recovery instructions.
- Collaborate with nurses, neurosurgeons, schedulers, and imaging teams to maintain smooth clinic flow.
- Check patients in and out; verify demographics & insurance information.
- Handle high-volume phone calls from parents, addressing concerns, routing messages, and providing accurate information.
- Process referrals and ensure appropriate records (imaging, operative notes, neuro reports) are available before appointments.
- Enter patient data, update charts, and complete documentation in EPIC accurately and efficiently.
- Provide compassionate, age-appropriate support to children with neurological conditions, helping ease anxiety during visits.
- Communicate clearly with families regarding appointment instructions, follow-up needs, and clinic processes.
- Serve as a positive, reliable point of contact for parents navigating complex care pathways.
