Treatment Coordinator | Patient Advocate
Regis Court Dental Associates — Eau Claire, WI Job Type: Full-Time |
We Are Looking for Someone Who Loves People as Much as We Do!
At our general dental practice in Eau Claire, WI, we believe that every patient deserves to feel genuinely cared for — not just clinically treated. We are a busy, growing, and close-knit team of dental professionals who take our work seriously and have a lot of fun doing it. As we continue to grow and welcome new providers to our team, we are looking for a talented Treatment Coordinator to join us as the heart of our patient experience.
If you are someone who lights up when you help a patient understand their care, who can navigate a conversation about finances with empathy and confidence, and who thrives in a fast-paced environment where no two days are exactly alike — we want to hear from you.
Why You Will Love Working Here
We know that great people have options. Here is what we bring to the table:
- Competitive Pay: $18.00 – $26.00 per hour, based on experience, with regular performance reviews
- Dental Benefits: Complimentary dental care for you and your immediate family — because we practice what we preach
- Paid Time Off: Generous PTO accrual plus paid holidays
- Retirement Plan: Simple IRA with employer match to help you build your future
- A Team That Has Your Back: Regular team lunches, a supportive and appreciative doctor team, and a culture built on mutual respect, humor, and genuine camaraderie
What You Will Do
As our Treatment Coordinator, you are the bridge between our doctors' clinical expertise and our patients' confidence in moving forward with their care. No two days look exactly the same, but your core responsibilities will include:
- Welcoming patients with warmth and professionalism, setting the tone for an exceptional visit from the moment they walk through the door
- Presenting treatment plans clearly and compassionately, helping patients understand the "why" behind their recommended care and feel confident in their decisions
- Discussing financial options — including insurance benefits, payment plans, and third-party financing (CareCredit, Sunbit, etc.) — with confidence, transparency, and zero pressure
- Optimizing the schedule with a focus on both patient convenience and practice production goals, keeping the day running smoothly
- Coordinating specialist referrals and ensuring seamless continuity of care for patients who need additional services
- Verifying insurance benefits and assisting with claims submission, follow-up, and patient account questions
- Supporting the team wherever needed — because great teams are flexible and look out for one another
Who You Are
You do not need to check every box, but the best fit for this role will bring most of the following:
- Experience: 1–2 years in a dental front office or treatment coordinating role is strongly preferred; we are committed to training the right candidate who brings the right attitude
- Communication: You speak with clarity, warmth, and confidence — in person, on the phone, and in writing. Patients feel heard and understood after every conversation with you.
- Financial Fluency: You are comfortable discussing money and helping patients find a realistic path forward with their treatment — without ever making them feel pressured
- Organizational Skills: You can manage a busy schedule, multiple priorities, and the occasional curveball without losing your cool or your smile
- Team Spirit: You show up every day with enthusiasm, humor, and a genuine commitment to your colleagues and your patients
- Tech Comfort: Experience with dental practice management software (Dentrix, Eaglesoft, or similar) is a plus — but we can teach the right person
Ready to Join Our Team?
Please submit your resume along with a brief note introducing yourself — we would love to know what draws you to this role and what you bring to a team. Selected candidates will be contacted for a phone screen, followed by an in-person interview where we will get to know each other properly.
We can't wait to meet you!
We are an Equal Opportunity Employer and welcome applicants from all backgrounds. Dental experience is preferred but not required — the right attitude and work ethic matter most to us.
