Position Summary
Fight 4 ME Service LLC is seeking an experienced, dependable, and highly organized Office Manager with a strong background in behavioral health or mental health services.
This position is responsible for overseeing daily office operations while supporting administrative functions, human resources, behavioral health administration, compliance, and patient intake.
The ideal candidate understands the importance of confidentiality, accurate documentation, timely patient intake, regulatory compliance, and professional communication in a behavioral health environment.
Key ResponsibilitiesOffice Management & Administration
- Manage daily office operations and administrative workflows.
- Maintain organized electronic and physical records.
- Coordinate schedules, appointments, meetings, and office communications.
- Ensure administrative tasks are completed accurately and on time.
- Communicate professionally with patients, families, employees, providers, and outside organizations.
- Assist leadership with reports, documentation, correspondence, and other administrative needs.
- Help establish and maintain efficient office procedures.
Behavioral Health Patient Intake
- Coordinate new patient/client intake from initial contact through admission or scheduling.
- Collect and verify required intake information and documentation.
- Communicate with patients and families regarding the intake process.
- Schedule assessments, appointments, and follow-up services.
- Maintain accurate patient demographic and administrative information.
- Work closely with clinical and administrative staff to ensure timely access to services.
- Identify incomplete documentation and follow up as necessary.
Human Resources & Employee Administration
- Assist with recruiting, interviewing, hiring, and onboarding employees.
- Maintain organized employee personnel files.
- Track required employee documents, credentials, certifications, and training.
- Assist with new-hire paperwork and orientation.
- Support employee scheduling and administrative HR functions.
- Maintain confidentiality of employee information.
- Help management ensure employee records remain current and complete.
Compliance & Documentation
- Assist with maintaining compliance with applicable behavioral health policies, procedures, and documentation requirements.
- Monitor administrative records for completeness and accuracy.
- Help prepare documentation for audits, reviews, credentialing, and compliance activities.
- Track required licenses, certifications, training, and other compliance-related deadlines.
- Maintain confidentiality and follow applicable privacy and security requirements, including HIPAA.
- Report missing, incomplete, or potentially noncompliant documentation to appropriate leadership.
- Assist management with implementing corrective administrative processes when needed.
Required Qualifications
- Previous administrative or office management experience.
- Behavioral health and/or mental health administrative experience strongly required.
- Experience with patient/client intake in a behavioral health, mental health, healthcare, or related setting.
- Experience with HR administration, employee onboarding, or personnel documentation.
- Experience with compliance, audits, documentation, or quality-assurance processes.
- Understanding of HIPAA and confidential patient information.
- Strong computer and data-entry skills.
- Strong organizational and time-management skills.
- Excellent written and verbal communication.
- Ability to manage multiple responsibilities and deadlines.
- Ability to communicate professionally and compassionately with behavioral health patients and families.
- High attention to detail and accuracy.
- Ability to maintain strict confidentiality regarding patient and employee information.
Preferred Qualifications
- Experience working directly in a behavioral health or mental health organization.
- Experience with behavioral health electronic health record (EHR/EMR) systems.
- Experience preparing for audits or compliance reviews.
- Experience with employee credentialing and personnel-file management.
- Experience coordinating behavioral health referrals, admissions, or patient intake.
- Knowledge of behavioral health administrative workflows and terminology.

This position requires reliable and consistent attendance during scheduled office hours.
