Position Summary
The Project Coordinator serves as the central point of coordination between clients, field personnel, vendors, and management to ensure projects are completed safely, efficiently, on schedule, and within budget. This position combines project management, customer service, administrative support, and financial coordination into one dynamic role.
Responsibilities
Project Coordination
- Coordinate projects from planning through completion.
- Develop and maintain project schedules, timelines, and budgets.
- Serve as the primary point of contact for customers throughout each project.
- Coordinate field crews, subcontractors, vendors, and internal departments.
- Monitor project progress and proactively resolve scheduling or operational issues.
- Track project costs and assist with budget management.
- Prepare and maintain project documentation, inspection reports, schedules, and progress reports.
- Assist in reviewing project proposals, pricing, and supporting documentation.
Administrative Support
- Prepare professional correspondence, reports, proposals, and project documentation.
- Coordinate meetings, appointments, and project schedules.
- Maintain organized electronic and paper filing systems.
- Respond promptly and professionally to customer inquiries.
- Prepare documentation for anchor certification projects.
- Coordinate shipping and receiving of project-related materials and equipment.
- Assist with company meetings, training sessions, and special events.
Financial Responsibilities
- Prepare daily bank deposits.
- Post customer payments in QuickBooks and billing software.
- Support Accounts Receivable by assisting with payment reconciliation.
- Maintain accurate financial records related to projects.
Office Support
- Maintain employee records and training documentation.
- Track employee certifications and required training.
- Assist with weekly payroll processing.
- Provide cross-functional support to office operations as needed.
Qualifications
- Previous experience in project coordination, project management, construction administration, or a related field.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to prioritize multiple projects while meeting deadlines.
- Experience with Microsoft Office, including Excel, Word, and Outlook.
- Experience with QuickBooks or similar accounting software preferred.
- Customer service experience required.
- Experience coordinating construction, building maintenance, or commercial service projects is a plus.
- Knowledge of Salesforce, ACT!, or CRM software is beneficial.
- High attention to detail and problem-solving skills.
- Ability to work independently while collaborating with multiple departments.
Preferred Qualifications
- Experience in commercial construction, facilities management, building maintenance, or service industries.
- Familiarity with project scheduling and budget tracking.
- Experience supporting field operations and coordinating multiple crews.
Pay: $55,000.00 - $60,000.00 per year
