We are an established property management company seeking a dependable, organized, and detail-oriented Administrative Assistant to support daily office operations, accounting-related administrative tasks, and excellent service to tenants, owners, vendors, and team members.
Position Overview
The Administrative Assistant will help keep the office running smoothly by providing clerical support, maintaining accurate records, assisting with accounts payable and accounts receivable tasks, and using Microsoft Office applications to prepare documents, spreadsheets, correspondence, and reports.
Key Responsibilities
· Answer phones, respond to emails, greet visitors, and provide professional customer service.
· Assist with accounts payable, including entering invoices, maintaining vendor records, preparing payment documentation, and organizing supporting files.
· Assist with accounts receivable, including posting payments, preparing tenant statements and maintaining accurate records.
· Prepare correspondence, notices, reports, spreadsheets, and other documents using Microsoft Word, Excel, Outlook, and related Microsoft Suite applications.
· Maintain digital and paper filing systems for leases, vendor documents, invoices, tenant communications, and property records.
· Support General Manager and office staff with general administrative tasks.
· Handle confidential information with professionalism and discretion.
· Inventory and Ordering of office supplies
· Assist in meeting preparations
Qualifications
· Previous administrative office experience required; property management experience preferred.
· Experience with accounts payable and accounts receivable processes required. Rent Manager experience preferred.
· Proficiency with Microsoft Suite, including Word, Excel, Outlook, and general computer applications.
· Strong attention to detail, accuracy, organization, and follow-through.
· Excellent verbal and written communication skills.
· Ability to prioritize tasks, meet deadlines, and work both independently and as part of a team.
· Professional, reliable, and customer-service focused.
