Hotel Accountant and Group Billing Specialist

We are seeking a detail-oriented Full-service Hotel Accountant and Group Billing specialist to join our finance team. This pivotal role involves managing comprehensive accounting functions for hotel operations, including group billing, accounts receivable and payable, financial reporting, and ensuring adherence to industry standards. The ideal candidate will bring a proactive approach to financial management, excel in client communication, and possess a strong foundation in accounting systems and software. The ideal candidate will have a proven experience in accounting or finance roles within the hospitality industry, as well as excellent analytical skills combined with attention to detail; ability to perform account analysis accurately under tight deadlines.
BASIC PURPOSE: Perform a varying range of general administrative and accounting support functions in an organization
FUNCTIONS/RESPONSIBILITIES:
- Oversee full-cycle group billing processes, ensuring timely and accurate invoicing for corporate clients, event groups, and other stakeholders using billing software and accounting systems.
- Manage accounts receivable by monitoring outstanding balances, executing collections account management strategies, and performing account reconciliation to ensure prompt payments.
- Assist in month-end reporting procedures
- Process accounts payable and receivables as needed
- Perform filing and general administrative tasks
- Prepare and submit customer invoices for group and event billing
- Code and post payments, including direct bill, ACH/EFT, checks and third-party authorizations
- Prepare and coordinate deposit activities
- Perform all necessary account, bank and other reconciliations
- Monitor customer accounts for non-payment and delayed payment
- Check, verify and process invoices
- Sort, code and enter accounts payable data
- Analyze discrepancies and unpaid invoices
- Assist with reservation, group and monthly tax reconciliations
- Maintain vendor and group billing files
- Process Advance Purchase billing and payments on a weekly basis
- Investigate and properly handle reservation matters and guest billing concerns
KNOWLEDGE AND SKILLS:
Education: High School education or equivalent experience.
Experience: 2 years of experience in a similar position, preferably in a hotel setting.
Skills and Abilities:
· Efficient keyboarding skills required
· Ability to communicate clearly and succinctly in both written and verbal fashion
· Must be able to organize and prioritize tasks
· Must be a problem-solver and be able to work independently
· Must be guest-service oriented and work well in a team environment

· Scheduled days and times may vary based on need and/or direction of supervisor
· Flexibility in scheduling required, including weekends, night and holidays when needed
