Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and providing excellent phone etiquette.
- Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace, maintaining organized filing systems and records.
- Support office management activities by coordinating calendar schedules, appointment setting, and calendar management for team members.
- Assist with bookkeeping and basic financial tasks using QuickBooks or similar accounting tools.
- Provide customer support via phone, email, or in person, ensuring a positive experience for clients and visitors.
- Perform clerical duties such as proofreading documents, filing paperwork, and managing correspondence efficiently.
- Support team members with personal assistant tasks when needed, demonstrating strong organizational skills and time management.
Qualifications
- Proven experience in office management or administrative roles with a minimum of one year of office experience.
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Bilingual abilities are highly desirable to assist diverse client needs.
- Experience with front desk operations, medical or dental receptionist duties, or personal assistant roles is a plus.
- Knowledge of bookkeeping procedures using QuickBooks or similar software is preferred.
- Demonstrated customer service excellence with professional phone etiquette and interpersonal skills.
