Design Studio Coordinator Novel¹ | Tiburon, CA | Independent Contractor | Part-time | Compensation based on experience
ABOUT THE OPPORTUNITY
Novel¹ is a Tiburon-based residential interior design firm seeking a Design Studio Coordinator to support our close-knit team. This is a highly detail-driven, operationally focused role at the center of the studio's day-to-day function. The Design Studio Coordinator supports project management flow, manages logistics, and ensures that details — both large and small — are executed with consistency and care.
This role will begin with an initial 60–90 day trial engagement to ensure mutual fit, workflow alignment, and communication compatibility, with the potential for ongoing long-term collaboration.
This role is best suited for someone who is not only organized, but naturally anticipates needs, thinks ahead, and takes ownership of outcomes. The right person will bring a strong sense of accountability and pride in getting things right the first time. This role is critical to the success of the studio. You will be the connective tissue between projects, people, and process — ensuring that nothing falls through the cracks and that every detail is accounted for.
The right candidate enjoys managing complex details, communicates with professionalism and clarity, takes ownership of their work, and takes pride in creating the structure that allows great design to happen.

- Have reliable transportation; please note travel time to and from the studio is not compensated
ESSENTIAL RESPONSIBILITIES Include but are not limited to:
Studio Operations & Coordination
- Support the day-to-day function of the studio, ensuring operations run smoothly and efficiently
- Maintain organization across physical and digital systems, including files, contacts, and internal tracking tools
- Coordinate calendars, appointments, and team logistics across projects
- Sample collecting from showrooms and design centers
- Sample library management
- Running errands and managing day-to-day studio tasks
Project & Logistics Coordination
- Support project flow by maintaining accurate, up-to-date tracking across all active projects
- Coordinate key milestones including trade days, installations, and deliveries
- Communicate updates with designers, clients, and vendors to ensure alignment and follow-through
- Anticipate scheduling conflicts or delays and proactively adjust plans as needed
- Order tracking, vendor coordination, and freight
- Checking in orders on delivery day, photographing and delivering to job site
Product & Sourcing
- Source furniture, materials, lighting, and accessories
- Oversee the receiving, inspection, and documentation of all incoming product
- Maintain accurate records and tracking of items from arrival through installation
- Coordinate storage, deliveries, returns, and exchanges in partnership with the procurement team
Presentations & Administrative Support
- Create client presentations and proposals
- Invoicing and administrative support
- Spreadsheets, filing, and general studio organization
WHAT WILL SET YOU APART
- Experience working in a residential interior design studio or adjacent industry
- Comfort working across our studio tools: Milanote, Keynote, Pages, Numbers, Canva
- Familiarity with project tracking tools and a comfort learning new platforms quickly
- A strong sense of ownership — you treat each task and project as your responsibility to see through
- Experience assisting with project management in a design studio environment
- Payroll assistance and coordination with accounting
- Credit card and expense management
- Onboarding support and general HR logistics
- Familiarity with QuickBooks Online
A NOTE ON AVAILABILITY
This is a part-time contract role requiring approximately 15–25 hours per week, with availability during regular business hours. The nature of studio work means some flexibility is needed — early client meetings, installation days, and deadline pushes are part of the rhythm. We value clear communication and mutual respect for each other's time.
