About the Role
AdChem is looking for a dependable, highly organized Warehouse Operations Coordinator to take ownership of the day-to-day coordination between our customers, warehouse, and delivery team.
This is a hands-on role for someone who can answer customer calls, process orders, coordinate delivery schedules, communicate clearly with drivers and warehouse staff, and help keep the warehouse organized, compliant, and running smoothly.
AdChem operates in a regulated chemical and hazardous-materials environment. The right person should understand the importance of accurate documentation, safe handling practices, and following applicable California compliance requirements.
Our leadership team is currently heavily involved in daily operational tasks. The primary goal of this position is to create structure, improve communication, and take ownership of routine operations so leadership can focus on the continued growth of the company.
Key Responsibilities
- Answer incoming phone calls and assist customers with orders, delivery questions, product availability, and general requests
- Enter, review, and confirm customer orders accurately
- Coordinate daily pickup and delivery schedules with customers, drivers, and warehouse staff
- Communicate schedule changes, delays, special instructions, and urgent requests
- Prepare, review, and organize bills of lading, delivery paperwork, and other required shipping documentation
- Help ensure hazardous-material shipments are properly documented, labeled, staged, and released for delivery
- Maintain an accurate daily delivery schedule and ensure all involved parties are updated
- Help prioritize warehouse tasks based on scheduled orders and deliveries
- Maintain proper organization, cleanliness, and order within the warehouse
- Monitor inventory levels and communicate shortages or discrepancies
- Help ensure products, cylinders, containers, and customer orders are stored and staged appropriately
- Support compliance with applicable California hazardous-material, warehouse, transportation, and workplace-safety requirements
- Follow established procedures for chemical storage, segregation, labeling, documentation, and incident reporting
- Follow up on open orders, missed deliveries, returned containers, and unresolved customer requests
- Assist with improving operational procedures, compliance documentation, and internal communication
- Identify recurring issues and help develop practical solutions
- Serve as a reliable point of contact between customers, drivers, warehouse personnel, and management
What We Are Looking For
- Experience in operations, logistics, dispatching, warehouse coordination, customer service, or a related role
- Familiarity with California warehouse, transportation, environmental, or hazardous-material compliance requirements
- Understanding of the importance of accurate hazmat documentation, labeling, storage, and handling procedures
- Strong organizational skills and the ability to manage several priorities at once
- Clear and professional communication by phone, email, and text
- Confidence making decisions and solving routine operational problems
- Strong attention to detail when entering orders, preparing paperwork, and coordinating schedules
- Comfortable working in a fast-paced environment where priorities may change throughout the day
- Dependable, proactive, and willing to take ownership of responsibilities
- Able to communicate respectfully and effectively with customers, drivers, warehouse staff, and management
- Comfortable learning new software and working with shared calendars, spreadsheets, and order-management systems
- Ability to work on-site and remain actively involved in daily warehouse operations
- Willingness to complete any required safety, hazardous-material, or compliance training
Preferred Qualifications
- Previous experience coordinating local deliveries or driver schedules
- Experience in a warehouse, distribution, industrial supply, chemical supply, compressed-gas, or manufacturing environment
- Familiarity with bills of lading, shipping papers, inventory tracking, SDS documentation, or hazardous-material records
- Knowledge of California hazardous-material storage, transportation, and reporting requirements
- Current forklift certification is a significant plus, but is not required
- Previous forklift operating experience is strongly preferred
- Experience helping a growing company establish clearer processes and procedures
- Bilingual English and Spanish communication skills are a plus
