Office Lead – Busy Short-Term Rental Resort
About the Position
NextHome Beach Time Realty is seeking a friendly, organized, and dependable Office Lead to oversee the daily front-office operations of a busy short-term rental resort in St. Pete Beach.
This is a hands-on leadership position for someone who enjoys helping people, solving problems, and keeping a busy office running smoothly. The Office Lead serves as a primary point of contact for guests, property owners, vendors, housekeeping, maintenance personnel, and other members of the resort management team.
The ideal candidate will be comfortable taking initiative, managing competing priorities, supporting other employees, and handling guest concerns professionally. Hospitality or vacation-rental experience is preferred, but we are willing to train the right person who has strong customer-service, administrative, and leadership skills.
Primary Responsibilities
- Oversee the daily operations of the resort office
- Provide friendly, professional service to guests and property owners
- Assist guests with reservations, arrivals, departures, payments, questions, and resort information
- Respond to guest concerns and work toward timely, reasonable resolutions
- Escalate significant guest, maintenance, or property concerns to management when appropriate
- Coordinate with housekeeping and maintenance teams to ensure rental units are clean, inspected, properly presented, and ready for arriving guests
- Help schedule and track unit inspections, maintenance requests, and follow-up items
- Confirm that established checklists, procedures, and quality standards are being followed
- Monitor reservations, unit availability, guest communications, and daily operational needs
- Assist with owner reservations, owner questions, and property-related requests
- Maintain accurate notes, records, reports, and internal communications
- Process payments and complete routine administrative and office duties
- Support and provide direction to front-office and guest-service team members
- Help maintain a professional, welcoming, and organized office environment
- Communicate effectively with resort management, central-office staff, vendors, and other departments
- Follow company policies, reservation procedures, privacy standards, and established operating procedures
- Assist with special projects and other duties as needed
Required Qualifications
- Weekend availability is required
- Availability to work some holidays as scheduled
- Strong computer literacy and the ability to quickly learn new software
- Working knowledge of Microsoft Excel
- Proficiency with Microsoft Office products, including Word and Outlook
- Strong written and verbal communication skills
- Excellent customer-service and problem-solving abilities
- Strong organizational skills and attention to detail
- Ability to manage multiple responsibilities in a fast-paced environment
- Ability to remain calm, professional, and solutions-focused when handling difficult situations
- Dependable, punctual, and able to work with limited supervision
- Comfortable communicating by telephone, email, text, and in person
- Ability to work cooperatively with guests, owners, coworkers, vendors, and management
Preferred Qualifications
- Previous experience in hospitality, vacation rentals, property management, hotels, resorts, or a similar customer-service environment
- Previous supervisory, team-lead, or office-management experience
- Experience working with reservation or property-management software
- Experience coordinating housekeeping, inspections, or maintenance requests
- Familiarity with the St. Pete Beach area and local attractions
