Role: Onsite Assistant General Manager
Location: Pembroke Pines, FL
Pay Range: $60,000 – $65,000 per year (depending on education and experience)
Typical Schedule: Monday- Friday 8:00 AM- 4:30 PM

The Assistant Community Association Manager (Assistant CAM) supports the General Manager in the daily administration and operation of the condominium association. This position assists with operational coordination, resident communications, records management, meeting preparation, vendor coordination, and administrative compliance in accordance with Florida Statute Chapter 718 and the Association’s governing documents.
This position reports directly to the General Manager and works closely with the Board of Directors, department managers, residents, vendors, and administrative staff.
Administrative & Operational Support
Assist the General Manager with day-to-day Association operations and administrative functions
Respond to resident inquiries and provide customer service support to owners, residents, vendors, and guests
Assist with the preparation and distribution of community notices, correspondence, and operational communications
Maintain organized digital and physical Association records and files
Coordinate and process official records requests in accordance with Florida Statute Chapter 718 and Association procedures
Assist with document retention, scanning, digital filing, and web archiving of Association records and meeting documents
Ensure meeting notices, agendas, affidavits, and postings are prepared and distributed within statutory deadlines
Maintain compliance logs, tracking spreadsheets, and administrative reports
Assist with preparation of Board meeting agendas and meeting packets
Coordinate meeting room setup, sign-in sheets, attendance tracking, and proxy collection
Assist with annual meeting preparations, election materials, and owner voting documentation
Attend Board and committee meetings as requested and assist with follow-up items and action tracking
Vendor & Project Coordination
Obtain and organize vendor proposals, bids, and supporting documentation for management and Board review
Coordinate scheduling with contractors, vendors, and service providers
Track project timelines, proposals, and operational tasks using spreadsheets and management software
Financial & Systems Support
Process and route invoices through the Association’s online approval system
Assist with purchase orders, work order tracking, and vendor documentation
Maintain spreadsheets related to projects, violations, inventory, records requests, contracts, and operational tracking.

Active Florida CAM License preferred or ability to obtain within a designated timeframe
Previous condominium, HOA, property management, or administrative experience preferred
Strong organizational, multitasking, and communication skills
Proficiency in Microsoft Office, spreadsheets, and property management software
Ability to maintain confidentiality and handle sensitive Association matters professionally
Knowledge of Florida condominium operations and governing documents preferred
Ability to sit for prolonged periods at a desk and work on a computer.
Ability to occasionally stand, walk, bend, or reach as needed.
Ability to lift or move objects up to 10–15 pounds (e.g., files, office supplies).
Manual dexterity to operate a computer keyboard, mouse, telephone, and other office equipment.
Visual acuity to read printed materials, spreadsheets, and computer screens.
Hearing and speech ability to communicate effectively in person, by phone, and in virtual meetings.
Ability to work in a standard office environment with moderate noise levels.
Ability to work a standard schedule, with occasional extended hours as required.
$60,000 – $65,000 per year (depending on education and experience)
