Work Schedule: Monday–Friday, 9:00 a.m. – 5:00 p.m., with occasional evenings, weekends, holidays, and extended hours as required by Performing Arts Center events and operational needs.
Definition
Under general supervision, the Performing Arts Center Clerk I performs entry-level clerical and administrative work in support of the Township's Performing Arts Center. This position assists with routine administrative, scheduling, event, customer service, and recordkeeping functions while learning the procedures, policies, and systems used in the operation of the Performing Arts Center. Other related duties may be assigned.

Examples of Work
Performs routine clerical and administrative tasks related to the operation of the Performing Arts Center.
Assists with maintaining event calendars, schedules, reservations, and facility-use records.
Assists with coordinating administrative details for performances, rentals, meetings, programs, and other events.
Communicate with performers, renters, vendors, community organizations, Township employees, and members of the public regarding routine event and facility matters.
Answers telephone calls, responds to routine inquiries, and provides information regarding Performing Arts Center activities, schedules, events, and facility use.
Assists with preparing correspondence, notices, forms, reports, spreadsheets, and other administrative documents.
Maintains organized records, files, schedules, contracts, invoices, event documentation, and other related records.
Assists with processing facility rental paperwork, permits, invoices, purchase orders, and other documents in accordance with Township procedures.
Assists with maintaining records related to facility revenues, expenditures, rentals, and other financial activity.
Enters and updates information in electronic and/or manual recording and information systems used by the Performing Arts Center.
Assists with event preparation by coordinating routine administrative details and communicating information to appropriate staff, vendors, performers, renters, and other participants.
Assists with preparing and distributing event information, schedules, notices, promotional materials, and other communications.
Provides courteous and professional customer service to residents, visitors, performers, renters, vendors, and community organizations.
Assists with maintaining accurate information regarding facility availability, scheduled activities, and upcoming events.
Reviews documents for completeness and accuracy prior to processing or filing.
Assists with maintaining a safe, accessible, clean, and welcoming environment by reporting routine facility or operational concerns to appropriate staff.
Utilizes standard office equipment, software, scheduling systems, and other electronic or manual systems used by the department.
Learns and follows Township policies, procedures, and established practices related to the operation and administration of the Performing Arts Center.
Performs other related duties as assigned.
Requirements
Education and Experience
One (1) year of work experience in clerical, administrative, customer service, event support, recreation, hospitality, performing arts, or a related field; or
Bachelor’s degree in business administration, Communications, Hospitality, Recreation, Performing Arts, or a closely related field from an accredited college or university.
Equivalent combinations of education and experience may be considered.
Knowledge and Abilities
Basic knowledge of clerical practices and procedures.
Ability to learn the policies, procedures, terminology, and operations associated with a municipal performing arts center.
Ability to maintain accurate records, schedules, files, and other administrative information.
Ability to organize work, establish priorities, and handle multiple routine tasks.
Ability to communicate effectively, both orally and in writing.
Ability to provide courteous and professional customer service to the public and a variety of outside contacts.
Ability to utilize standard office equipment and software, including word processing, spreadsheets, email, and scheduling systems.
Ability to follow written and verbal instructions.
Ability to work independently and as part of a team.
Ability to maintain confidentiality and handle sensitive information appropriately.
Ability to establish and maintain effective working relationships with Township employees, performers, vendors, renters, community organizations, and members of the public.
Ability to work a flexible schedule when necessary to support Performing Arts Center events and activities.

License
