Job Summary
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our administrative functions. This role is essential in maintaining a smooth and efficient office environment, supporting staff, managing administrative tasks, and ensuring excellent customer service. Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer support
- Oversee office management tasks such as filing, data entry, and maintaining organized records
- Coordinate calendar management and scheduling for executives and team members
- Handle bookkeeping duties using QuickBooks or similar software to support financial recordkeeping
- Assist with clerical responsibilities including proofreading documents, managing correspondence, and preparing reports
- Support administrative functions such as ordering supplies, managing office equipment, and overseeing office safety protocols
- Provide personal assistance to executives as needed, including travel arrangements and task prioritization
- Maintain office productivity software proficiency (Microsoft Office, Google Workspace) for document creation and communication
- Ensure effective phone etiquette and customer service standards are upheld at all times
- Support medical or dental reception duties if applicable, including appointment scheduling and patient record management
Requirements
- Proven experience in office management or administrative roles with a minimum of two years of relevant experience
- Proficiency in QuickBooks, Microsoft Office Suite, Google Workspace, and other productivity software
- Strong organizational skills with the ability to prioritize tasks efficiently
- Excellent computer literacy and technical proficiency in office tools
- Bilingual abilities are preferred to serve diverse client needs effectively
- Experience with data entry, filing systems, and clerical procedures
- Exceptional customer service skills with professional phone etiquette
- Knowledge of bookkeeping practices and familiarity with medical or dental receptionist duties is advantageous
- Strong time management skills with the ability to multitask in a fast-paced environment
