Overview/Purpose: This position maintains the budget, financial oversight, and purchasing accounts of the HomeLink program according to DPSD Policies and procedures and state ALE requirements.

Coordinate and ensure the bookkeeping procedures, as established by the DPSD, are followed and maintained. Maintains financial records and assures records retention in accordance with Washington state audit requirements. Receiving and disbursing funds in accordance with DPSD policies and state ALE guidelines

Assists building principal in oversight of Home Link funding and annual budgets.

Prepares and distributes various annual reports. Board report, ALE End of Year Report, Monthly Budget percentage reports.

Prepares and processes requisitions and purchase orders: orders supplies, materials, and equipment, processes stock, and distributes materials for building, staff, classrooms, and students. Coordinates/obtains appropriate approval for purchases. Maintains bookkeeping records, tracks expenditures, and prepares bank reconciliation as needed. Reconciles monthly vendor statements, BMO, Costco, Office Depot, and Amazon. Processes invoices and payment orders to be submitted to district AP.

Assists the Resource Coordinator/Library lead in the sourcing and procurement of educational materials needed for Home-Link consultants, specialists, and enrolled families.

Communicates with approved vendors concerning purchase orders, invoice issues, back-ordered materials, and receiving purchased supplies.

Keeps current records of contact information on program vendors, W-9, annual service agreement, contact information, payment types, and purchasing procedures.

Requesting and processing of impress check requests through district AP. Receiving, documenting, and depositing cash for lost curriculum materials, yearbooks and/or event monies per district policies and procedures.

Receives, reviews, and processes staff reimbursement of classroom expenses and submits to district accounts payable for payment back to staff.

Coordinates the financial aspects of annual events, classroom field trips, and graduation with the Events manager.

Coordinates travel of Home Link Principal, Consultants, and/or staff for professional development.

Meets with district CFO as necessary to provide records, information, and explanations regarding Home Link bookkeeping/purchasing matters, questions and/or concerns.

Provides other clerical support to the Home Link Lead secretary, Clayton support secretary, Events director, Schedulers, Consultants and Specialists as needed.

Coordinates and oversees current food handler certification for Kitchen staff. Maintains documentation of current staff certification in the kitchens, and with the district facilities office.

Coordinates the inventory for program furniture, building materials, and classroom surplus. Coordinates and facilitates the surplus of furniture, materials, and supplies consistent with district facilities policies.
Knowledge and Skills:

Knowledge of general bookkeeping procedures

Demonstrated knowledge and skills in the use of technology for the purpose of communication and ordering online.

Familiarity with Home Link culture and/or ALE (Alternative Learning Experience) programs.

Skills in operating general office machines

Competent in computer skills such as Microsoft and/or Google

Ability to set up and maintain an accurate filing systems

$23.46-$29.31 per hour. Initial placement is based on applicable experience in accordance with the Deer Park Association of Education Office Professionals (WEA) Collective Bargaining Agreement. Additional compensation may be available as provided in the negotiated agreement. Pay is annualized over 12 months (if hired after Sept, spread over the remaining months of the contract year (Sept-Aug)). Placement is defined within the Collective Bargaining Agreement (CBA) and is generally based upon experience.
