Position: Accounting Associate
Department: Accounting
Position Type: Exempt
Reports to: General Mgr., Accounts Payable Mgr., Accounts Receivable Mgr.
The Accounting Associate will be responsible for assisting the AP, AR, and General Managers. Activities to assist with include running payroll, handling collections, paying vendors, and supporting budgeting, forecasting, and benefits administration activities. The Accounting Associate will be solely responsible for creating and maintaining routine and periodic reports in Microsoft Excel. Following Generally Accepted Accounting Principles (GAAP) is required to ensure accurate financial reporting.
Essential Duties:
□ Billing and Reporting Support
o Opening and organizing incoming mail from customers
o Creating and sending invoices to customers upon service – electronic and mail
o Constructing new reports in Excel upon request from the General Manager
Duties To Assist With:
□ Accounts Payable Manager
o Paying bills
o Administration of benefits
o Running payroll
□ Accounts Receivable Manager
o Reconciling service tickets
o Receiving and depositing checks from customers
o Setting up new or existing customers with electronic payments through SecurShred’s online portal
o Managing relations with bad/late paying customers to ensure collections are made
□ General Manager
o Constructing new reports in Excel upon request from the General Manager
o Supporting operations team when needed
MINIMUM REQUIREMENTS
Education
BA/BS in Business, Accounting or Finance with an emphasis in Accounting. 2 years of professional accounting experience preferred, though exceptions can be made by the discretion of the General Manager.
Technical Skills and Prior Experience
o Must be highly proficient in Microsoft Excel with real world experience developing and maintaining financial models
o Prior Quick Books experience (preferred)
o Great attention to detail, well developed communication skills, flexibility with respect to changing priorities, and solid people skills are also required.
o Strong verbal and written communication skills.
o Strong interpersonal, analytical and customer service skills required.
o Ability to multi-task, work under pressure and meet deadlines required.

Language Skills:
Ability to read and interpret documents such as financial statements, technical journals, data tables, textbooks, manuals, legal documents, operating and maintenance instructions is required.
The ability to develop and write meaningful and concise marketing materials, website materials, correspondence is essential. An ability to speak succinctly, clearly and persuasively with individuals, before groups and with employees is also required.
Mathematical Skills:
Ability to apply basic math skills such as addition, subtraction, division and multiplication. Ability to calculate figures and amounts such as discounts, interest, profit margins, commissions, proportions, percentages.
Reasoning Ability:
Ability to think creatively to solve problems and deal with a variety of variables in situations where limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to maintain confidentiality of information presented.
Technology Skills:
Must have an above average ability to learn and utilize new software programs as systems are upgraded. Knowledge of Windows, Internet, database/content management systems is required.
Other Skills and Abilities:
Must establish and maintain positive, effective, interpersonal skills and effective working relationships with others. The ability to perform duties with awareness of all Company policies and procedures and to work in a collaborative team environment is essential to the employee's successful job performance. The ability to manage multiple tasks while meeting severe time deadlines is essential. On occasion may be required to drive company vehicles safely and professionally.
