CEM Construction is a growing multifamily general contractor specializing exclusively in the construction of large-scale luxury apartment communities throughout South West and Central Florida. We are seeking a highly organized, detail-oriented Construction Project Administrative Assistant to support our Project Managers and Superintendents throughout the construction lifecycle.

Responsibilities
- Provide administrative support to Project Managers and Superintendents on active multifamily construction projects.
- Maintain project documentation including contracts, subcontracts, RFIs, submittals, change orders, purchase orders, meeting minutes, and closeout documents.
- Manage and organize project files using Procore and company document management systems.
- Coordinate subcontractor onboarding, insurance certificates, contracts, and compliance documentation.
- Track permits, inspections, utility coordination, and project deadlines.
- Prepare meeting agendas, take meeting minutes, and distribute action items.
- Assist with project scheduling, vendor coordination, and material deliveries.
- Process invoices, lien waivers, and other project accounting documentation in coordination with the accounting department.
- Maintain daily reports and assist with project reporting.
- Coordinate project startup and closeout documentation.
- Answer phones, respond to emails, and provide professional support to subcontractors, vendors, owners, architects, and consultants.
- Assist with bid packages, contract preparation, and procurement documentation.
- Perform general office and administrative duties as assigned.
Qualifications
- 3+ years of administrative experience, preferably in commercial or multifamily construction.
- Experience supporting Project Managers or Construction Superintendents is strongly preferred.
- Working knowledge of construction documentation including:
- RFIs
- Submittals
- Change Orders
- Purchase Orders
- Pay Applications
- Contracts
- Lien Waivers
- Proficiency in Procore and/or Autodesk is strongly preferred.
- Experience with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced construction environment.
- High attention to detail with strong proofreading and document management skills.
- Professional demeanor and ability to interact with subcontractors, design professionals, and ownership.
Preferred Qualifications
- Experience supporting large multifamily construction projects (180–360 units).
- Experience with project accounting software or ERP systems.
- Knowledge of construction scheduling and procurement processes.
- Associate's or Bachelor's degree in Business Administration, Construction Management, or related field is a plus.
