Responsibilities
- Financial/Treatment Coordinator
- Core Insurance Responsibilities
- Verify patient dental insurance eligibility and benefits before appointments
Patient Financial Communication
- Provide treatment cost estimates based on insurance coverage
- Collect co-pays, deductibles, and outstanding balances at time of service
- Discuss financing options and payment plans when needed
- Educate patients on insurance policies and office financial policies
Administrative / Front Office Duties
- Schedule and confirm patient appointments efficiently
- Maintain accurate patient records and insurance details
- Answer phones and respond to patient inquiries regarding billing and insurance
- Review daily schedules for insurance readiness and pre-authorizations
- Manage insurance aging reports and accounts receivable (AR)
Compliance & Accuracy
- Ensure HIPAA compliance when handling patient information
- Stay updated on insurance policies, coding changes (CDT codes), and payer guidelines
- Audit claims for accuracy before submission to reduce errors
Team Collaboration
- Communicate with dentists and hygienists regarding treatment plans and insurance coverage
- Work with billing team or office manager to improve collections and reduce AR days
- Assist in training staff on insurance workflows and updates
- Explain coverage, limitations, deductibles, and estimated out-of-pocket costs to patients
- Obtain and review pre-authorizations for major procedures
- Accurately enter and update insurance information in practice management software
- Prepare and submit dental insurance claims (electronic and paper)
- Attach required documentation (x-rays, narratives, periodontal charts, etc.) to claims
- Track and follow up on outstanding claims and delayed payments
- Post insurance payments and adjustments to patient accounts
- Identify and resolve claim denials, rejections, and underpayments
- Coordinate benefits (COB) for patients with multiple insurance plans
