Primary Purpose:
Provide comprehensive clerical and administrative support to designated personnel responsible for district-wide operations. Coordinate and monitor accounting policies, practices and procedures related to department projects and the Maintenance and Operations Department. Maintain department budgets and monitor expenditures to track progress for projects and daily tasks.
Minimum Qualifications:
Education/Certification
High school diploma or GED equivalent (Recognized by the Texas Education Agency or regional accrediting agency)
Shall be subject to testing for use of alcohol or controlled substance that violate law or federal regulations
Candidates must have a satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50.00) paid by employee.
Required Experience:
- Three (3) years of clerical or office support experience , preferably in a maintenance, facilities, or educational environment
- Experience in coordinating and monitoring accounting policies, practices, and procedures related to the maintenance department is preferred.
Knowledge/Skills:
- Proficient typing, keyboarding, and file maintenance skills.
- Ability to use personal computers and software, including Microsoft Office (Word, Excel, and Outlook).
- Strong organizational, communication, and interpersonal skills.
Ability to multi-task and meet deadlines in a fast-paced environment

Major Responsibilities and Duties:
- Monitor and coordinate fund district accounting practices to ensure the maintenance department remains within budget. Ensure all departmental activities comply with federal, state, and local funding source requirements.
- Manage vendor relationships and contracts, ensuring deliverables are met and invoicing protocols are followed accurately.
- Navigate complex department initiatives by independently defining, prioritizing, and executing tasks to meet strict operational deadlines.
- Collect and interpret data from multiple sources (e.g., work order systems, budget reports) to identify areas for organizational and process improvement.
- Serve as a primary point of contact for internal and external stakeholders, fostering collaborative and trusting professional relationships.
