Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, answer inquiries, and direct calls with professionalism and courtesy
- Handle front desk duties including scheduling appointments, managing calendars, and coordinating meetings
- Perform data entry, filing, and document proofreading to maintain accurate records and correspondence
- Utilize Microsoft Office Suite (Word, Excel) and Google Workspace tools for document creation, editing, and communication
- Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including typing reports, managing client communication, and maintaining organized files
Experience
- Previous office or administrative experience is preferred, especially in customer service or front desk roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and multi-line phone systems
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Demonstrated experience in phone reception etiquette, data entry accuracy, and proofreading skills
- Personal assistant or office management experience that includes calendar management and client communication is advantageous
- Familiarity with QuickBooks or bookkeeping practices will be considered an asset
