San Antonio Program Coordinator – Position Overview
We are seeking a highly organized, proactive, and people-centered Program Coordinator who thrives in a dynamic, fast-paced environment. The ideal candidate has a growth mindset and brings experience working within a school setting—either as a teacher or in a front office/administrative role—and understands the rhythm, structure, and heart of an educational environment.
This role requires a natural planner who thinks several steps ahead, anticipates needs, and can confidently manage multiple moving parts at once. You are someone who remains calm under pressure, adapts quickly to last-minute changes, and ensures programs run seamlessly from start to finish.
Key Responsibilities
- Develops meaningful, trust-based relationships with schools, staff, parents, and instructors to support a strong, connected program community with a high level of service and professionalism
- Plan, coordinate and execute classes, camps, programs, events, and daily operations with professionalism.
- Manage schedules, logistics, and communication across multiple stakeholders
- Anticipate needs and proactively solve problems to ensure smooth program delivery
- Adapt quickly to changes and troubleshoot in real time
- Contribute to a positive, collaborative team environment
Specific Duties and Responsibilities
- Develop, coordinate, and manage class, camp, programs, events, staff schedules and daily operations with excellence and attention to detail.
- Oversee class and camp registration processes, ensuring accuracy and a positive customer experience
- Manage both customer-facing and internal communications with clarity and professionalism
- Maintain and organize internal records and program documentation
- Conduct ongoing outreach to prospective schools and partners to support CLG’s growth goals
- Participate actively in team meetings and contribute to team alignment and success
- Teach a minimum of 2 classes per semester and serve as a substitute instructor as needed
- Conduct a minimum of two site visits per semester for each instructor to provide support and ensure program quality
- Provide coaching and ongoing professional development for instructors
- Attend and manage promotional events at current and prospective partner locations to effectively market CLG programs
- Take on additional responsibilities as needed to support team goals and overall program success
Key Qualities & Experience
- Experience in a school environment (teaching, administration, or front office) strongly preferred
- Background in event planning, program coordination, or operations
- Exceptional organizational and multitasking skills
- A forward-thinking mindset with the ability to anticipate challenges and develop solutions
- Ability to manage shifting priorities and last-minute changes with flexibility and composure
