Duties

- Manage multi-line phone systems, directing calls efficiently and taking accurate messages
- Maintain organized filing systems, both digital and paper-based, ensuring easy retrieval of documents
- Handle data entry tasks with precision using computer literacy tools such as Microsoft Office and Google Workspace
- Assist with appointment scheduling, calendar management, and coordinating meetings for staff and management
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
- Perform general office management duties such as ordering supplies, managing mail distribution, and maintaining cleanliness of the front desk area
- Proofread correspondence and documents to ensure accuracy and professionalism before distribution
- Provide administrative support including copying, scanning, proofreading, and preparing reports or presentations
- Offer exceptional customer support by addressing inquiries promptly via phone or email with proper phone etiquette
Qualifications
- Proven experience in office administration or clerical roles; previous receptionist or front desk experience preferred
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry platforms like QuickBooks
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated customer service skills with a professional phone etiquette approach
- Ability to manage multi-line phone systems confidently and handle high-volume call periods gracefully
- Experience in medical or dental receptionist roles is a plus but not required; familiarity with calendar management and appointment scheduling is essential
- Strong typing skills with attention to detail for proofreading and data accuracy
