Job Title: Receptionist & HR Coordinator
Department: Administration
Position Summary: The Receptionist & HR Coordinator is a central administrative role responsible for a wide range of essential functions that support the daily operations of Allstate Security Industries, Inc. This individual serves as the first point of contact for clients, vendors, and staff, while also managing human resources, compliance, accounts payable, and internal communications. The ideal candidate is highly organized, detail-oriented, and capable of juggling multiple responsibilities across departments.
Key Responsibilities:
Reception & Office Coordination:
- Answer and manage a multi-line phone system, transfer calls, and greet customers and visitors upon arrival; handle cash payments and oversee petty cash (including balancing, intake, and payouts)
- Plan and coordinate office parties and holiday celebrations, including birthday and anniversary announcements for employees
- Organize and schedule company photos as needed
- Purchase office supplies and maintain inventory
Accounts Payable:
- Ensure timely payment of company bills, vendor invoices, sponsorships, and donations
- Record and enter credit card and check payments into the system with accuracy
Licensing & Compliance:
- Maintain licensing and compliance documentation for the company and all licensed personnel
- Track and monitor expiration dates, CEU requirements, and renewal deadlines across departments
- Support new employees and current staff through the licensing process
- Prepare and maintain licensing records for annual audits
Human Resources:
Manage the entire onboarding process for new hires: placing ads, screening applicants, scheduling interviews, and coordinating paperwork
- Handle all federal and state reporting requirements for new hires
- Coordinate benefits enrollment, employee licensing, and insurance compliance
- Oversee employee separations and ensure accurate completion of termination-related tasks and compliance reporting
Skills & Qualifications:
- Strong organizational and time management skills
- Excellent communication and customer service abilities
- High level of discretion and professionalism when handling sensitive information
- Ability to multitask and manage multiple priorities efficiently
- Proficiency in office software and systems
Schedule & Work Expectations:
- Monday through Friday, 8:00 a.m. to 5:00 p.m.
- Full-time, in-office position
- Occasional flexibility required for special events or after-hours responsibilities
