Position Summary
The Dental Office Manager is responsible for overseeing the daily operations of the practice to ensure exceptional patient care, efficient office workflow, financial success, and compliance with all applicable regulations. This position supervises administrative and clinical support staff, manages patient scheduling and treatment acceptance, and work closely with the dentist to achieve practice goals.
Duties and Responsibilities
- Oversee the daily operations of the practice.
- Ensure efficient patient flow and appointment scheduling.
- Develop and implement office policies and procedures.
- Maintain a professional, organized, and patient-centered environment.
Staff Management
- Supervise administrative and clinical staff.
- Manage employee work schedules.
- Foster teamwork, accountability, and a positive workplace culture.
- Address employee concerns and resolve conflicts professionally.
Patient Relations
- Ensure excellent customer service and patient satisfaction.
- Handle patient concerns, complaints, and service recovery.
- Educate patients regarding treatment plans, financial options, and office policies.
- Monitor patient retention and follow-up systems.
Financial Management
- Monitor daily production and collections.
- Review accounts receivable and outstanding balances.
- Ensure accurate posting of payments and adjustments.
- Oversee collections and financial arrangements.
- Prepare financial and operational reports for practice leadership.
Treatment Coordination
- Assist patients in understanding recommended treatment.
- Present financial estimates and payment options.
- Monitor treatment acceptance and unscheduled treatment reports.
- Support production goals through effective case acceptance.
Qualifications
- Minimum of 3 years of dental office management experience preferred.
- Strong knowledge of dental terminology, treatment planning, and insurance billing.
- Excellent leadership, communication, and organizational skills.
- Strong understanding of scheduling, collections, and financial reporting.
