Overview
We are seeking a detail-oriented and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in daily internal operations, member experience, education programs, events, and administrative functions of Kansas REALTORS®, Inc. (KR). The Office Administrator serves as a primary point of contact for members, visitors, volunteer leaders, local associations, and industry partners, providing responsive service, accurate information, and timely support across KR programs and services. This position requires strong organizational skills, the ability to work independently or as part of a team and the ability to balance priorities in a fast-paced environment.
Office Administration (30%)
- Manage office operations by maintaining supplies, coordinating equipment needs, and working with vendors for printer, copier, and related office support.
- Maintain organized physical and digital records by filing, scanning, archiving, retrieving, and organizing documents and shared files as needed.
- Assist with member database accuracy, including routine data review, duplicate record cleanup, membership status updates, roster verification, and other data-quality projects.
- Support KR metrics and reporting by tracking and compiling data related to membership, education, events, surveys, registrations, and member engagement.
Member Services (30%)
- Serve as a primary point of contact for members, visitors, and the public by ensuring interactions are welcoming, responsive, accurate, professional, and providing helpful information and routing inquiries as needed.
- Provide professional, prompt, accurate support and connection to KR tools, services, and information through all contact mediums (telephone, email, in-person)
- Assist with maintaining KR’s online member communities by updating content, monitoring activity, and supporting member engagement.
- Update community calendars and coordinate scheduling details to help ensure KR events, programs, and deadlines are accurately shared.
- Monitor and update assigned website content on a routine basis to help ensure information is current, accurate, and functioning properly.
Program, Events, Education, Meeting Support (40%)
- Provide administrative and logistical support for KR conferences, including registration-related support, scholarship/application materials, website content coordination, attendee resources, session support, and onsite assistance.
- Ensure course completion information for pre-license and continuing education programs are submitted to state licensing authorities as required.
- Assist with projects, tasks, and event preparations as needed
- Support educational, meeting, and events set up through preparing materials, sign-in sheets, rosters, name tents, room setup, food/beverage coordination, Zoom setup, and post-meeting cleanup/follow-up.
- Prepare reports and market data summaries using provided tools and data sources as requested.
- Support for live/in-person and virtual education delivery, including attendance tracking, materials, check-in, instructor support, and post-class records.
QUALIFICATIONS:
- Full-time availability
- Excellent phone and customer service skills
- Proficiency in Adobe, Zoom Meetings & Phone, Microsoft 365, and Microsoft Teams, Canva
- Experience with database software
- Strong organizational skills and attention to detail
- Ability to work independently and as part of a team
- Understanding of non-profit association operations is a plus
- Professional office experience is a plus
- Valid driver's license and ability to travel occasionally within Kansas
- Ability to lift up to 40 pounds
